or Department Coordinator II

This position will be fully onsite, 1.0

FTE/full-time Monday - Friday, 7:30am - 4pm with some flexibility.

Responsibilities
  • Identify, research and determine resolutions to budget issues
  • Serve as a point of contact representing the department to other departments, individuals and outside organizations
  • Manage projects that support business operations by designing project/study methodologies, data collection and data management, setting project study goals and timetables and ensuring research and administrative tasks are completed
  • Interpret regulation and draft and interpret policies, procedures and best practices for the department or unit as it relates to the business function of the unit or ongoing stakeholder education
  • Identify and resolve operational issues with authority to deviate from established policies and procedures without prior approval
  • Plans, organizes and oversees events, determining and securing necessary resources, setting agendas and negotiating rates and contracts as needed
  • Determine reporting needs and analyzes data
  • Determine content, design and write correspondence, documents and presentations
  • Onboard new staff
  • May supervise staff
  • May review time sheets and approve as needed
  • Assists in the development and implementation of administrative procedures and policies
  • Manages staff and departmental calendar, meeting invites, staff timecards and review/approve time exceptions and requests in Kronos
  • Management and maintenance of Policy Stat: acknowledgement tracking, creating reports and facilitating policy/procedure edits
  • Provides administrative support for hiring, onboarding new staff and maintenance of staff competencies:
    • Interview coordination and preparation of materials
    • Coordination of training schedules and checklists
    • Assist with Proficiency tracking
  • Assist with budgetary functions for the department, projects, and research studies:
    • Submitting purchase orders and standing orders
    • Reconciling credit card expenses
    • Reimbursement requests
    • Preparing expense reports for approval
  • Performs daily operational tasks, as needed:
    • Extract and publish departmental operational metrics
    • Patient Case file prep/wrap up: pulling transcripts and outside records, file setup, labeling and scanning
    • Provider verification (K-checks)
    • Onsite assistance with delivery couriers
Qualifications

Required:

  • High School Degree or equivalent
  • Minimum one year of relevant experience
  • Critical thinking skills
  • Ability to take initiative and use sound judgment in carrying out responsibilities
  • Ability to work in a fast paced, complex healthcare environment
  • Customer service skills
  • Ability to prioritize concurrent responsibilities and demands
  • Basic knowledge of medical terminology may be required for certain roles
