Job Description
The HCOP Program Operations Specialist at the University of Washington supports and oversees the Health Careers Opportunity Program (HCOP), a multidisciplinary initiative that prepares students for careers in health care through workshops, mentorship, and career guidance. The role involves operational management, student and stakeholder coordination, program evaluation, and curriculum support.
Duties and ResponsibilitiesThe Specialist works closely with the HCOP Associate Director and other leaders to manage the four HCOP initiatives: BRIGHT-UP, UDOC, SHPEPLE and Ambassador.
Operations Management (45%)- Coordinate communications, logistics, and database management for the HCOP program.
- Manage reimbursements for student and staff travel and event-related expenses.
- Generate weekly, monthly, and annual reports on student progress and engagement.
- Maintain the HCOP program website, email newsletters, and social media presence.
- Provide technical and logistical support for online workshops, classes, and events, including room reservations and A/V needs.
- Assist with recruitment of students and maintain a database of current and future Ambassadors.
- Attend weekly and monthly meetings to share updates and support related tasks.
- Serve as the primary contact for HCOP-related inquiries and coordinate with UW faculty, staff, and external partners.
- Manage administrative processes related to student engagement, program activities, credentialing, and event planning.
- Organize and lead large-scale HCOP events such as mixers, workshops, and graduation ceremonies.
- Develop and implement activities for workshops, webinars, orientation, and other programmatic sessions.
- Assist the Associate Director with Canvas learning platform planning and student interactions.
- Provide regular reports on student progress with Canvas modules.
- Check in regularly with Ambassador students to ensure continued engagement.
- Oversee evaluation processes for HCOP programs and gather timely feedback.
- Analyze evaluation data and provide recommendations for program enhancements.
- Conduct evaluations and collaborate with team members on data presentation and analysis.
- Assist and provide support forены HCOP-related courses and educational activities.
- Assist in teaching aossa course for health science professional students as needed.
- Respond to emerging priorities and needs within the HCOP program and the Office of Curriculum.
- Bachelor’s degree or equivalent and at least two years of administrative work experience, or an equivalent combination of education and experience.
- Proficiency with Zoom, Microsoft Teams, Office Suite, Outlook, Excel, Qualtrics, and Adobe.
- Familiarity with learning management systems (Canvas), Word Press, Mail Chimp, Constant Contact, and Canva.
- Demonstrated ability to multitask, adapt to evolving priorities, and coordinate projects independently and collaboratively.
- Flexible schedule to accommodate occasional evening and weekend work (minimal).
- Experience with event planning.
- Travel within the WWAMI region (minimal).
- Hybrid work setting.
- Master’s degree in health sciences or public health plus two years of experience managing data, grants or program development.
- Proven experience working with diverse groups and teams.
- Experience with data gathering and analysis.
- Strong organizational, communication, and resourcefulness skills.
- Prior program management experience.
- Ability to work with minimal supervision.
Employee may be required to work beyond a normal work week and attend some evening or weekend meetings or events to meet project deadlines.
Compensation, Benefits and Position DetailsPay Range: $61,368.00 – $81,216.00 per year (annual). Position is full‑time, regular, and 100% FTE. Benefits information is available at University benefits page.
