AboutThe Role
As a Contract Administrator, you will be responsible for managing the full lifecycle of contracts and related compliance activities across multiple divisions, ensuring alignment with company standards, legal requirements, and operational needs. This role partners closely with Project Managers, Project Assistants, Accounting, and leadership to support contract execution, risk mitigation, and operational efficiency.
Essential Duties & ResponsibilitiesContract Administration
- Manage all contract and change order workflow through the office.
- Review and analyze contracts for Washington and Idaho projects to ensure compliance with company rates, rules, and regulations.
- Confer with department heads and stakeholders to identify ambiguities, omissions, inaccuracies, or potential legal conflicts.
- Recommend contract modifications and obtain appropriate approvals.
- Create and maintain contract exhibits as required.
- Assist with the creation of new contracts across all company divisions, ensuring inclusion of required legal and operational terms.
- Advise Project Managers and Project Assistants on sub-tier contract compliance and related issues.
- Notify project teams of sub-tier subcontractors requiring updated insurance certificates.
- Communicate insurance renewal requirements to sub-tier partners and coordinate documentation.
- Maintain and update insurance expiration dates within accounting and project systems.
- Oversee the annual audit process for project-specific insurance certificates.
- Coordinate CCIP/OCIP enrollments and compliance.
- Manage certificate of insurance (COI) compliance, including recurring and annual audits.
- Coordinate fringe benefit bonds and bid/performance bonds.
- Manage third-party compliance and contract portals, including signatures, document workflows, payment compliance, and policy attestations.
- Maintain secure credential and password management for assigned portals.
- Prepare weekly reporting on held payments and related contract notes.
- Proactively identify and resolve contract, compliance, and risk-related issues with attention to detail and sound judgment.
- Provide responsive, professional support to internal teams and external partners.
- Collaborate cross-functionally to support project and business objectives.
- Clearly interpret, draft, and communicate contractual and compliance requirements.
- Understand the business implications of contract terms and operational decisions.
- Effectively manage changing priorities, deadlines, and project needs.
- Maintain confidentiality and operate with integrity at all times.
- Observe and support company safety policies and procedures.
- High School Diploma or GED required with a minimum of 3 years of related experience and/or training, or an equivalent combination of education and experience
- Proven experience with construction contract review and negotiation, including GMAX and Lump Sum.
- Strong attention to detail with a high level of self-motivation and drive to learn and grow.
- Ability to negotiate terms and conditions and understand when escalation is required.
- Effective communication skills with operations teams and leadership.
- Experience with Microsoft 365 Suite and construction platforms (e.g., Procore, Textura). Contract Lifecycle Management (CLM) and Vista experience is a plus.
- Familiarity with insurance compliance, bonding, and audit processes.
- Ongoing education or training related to lien law, contract law, or construction compliance preferred.
