* Assist Annual Giving & Stewardship Manager in the collection and management of stewardship related data to ensure fulfillment of stewardship obligations
* Document and track stewardship actions, personal giving, recognition programs, and best practices.
* Serve as the main point of contact for all development volunteers and work study students, assisting in the management of projects and assigned tasks.
* Coordinate with the Burke’s finance team to track and reconcile all gifts and pledges.
* Work with the Finance Manager to ensure effective communication for gift tracking and reconciliation. Manage all donor files, produce regular gift reports, and provide ongoing analysis of giving trends.
* Act as a liaison between the Burke and UW Gift Processing to resolve questions about specific gifts, establish new gift funds, and create appeal codes as needed.
* Coordinate with divisions at the Burke to ensure proper data input and that reporting needs are met.
* Create and develop reports, donor profiles, project analysis, graphics, spreadsheets, and other customized collateral as needed.
* Collaborate across teams to ensure that all newly-created contact and account records in Salesforce are consistent and that external from other databases, such as Advance, are reviewed and updated as needed.
* Ensure deceased contacts are updated and salutations adjusted as required for spouses. Coordinate with the head of Visitor Services, Education Department, and Facility Rentals staff to ensure that contacts are qualified promptly.
* Conduct general office duties, which include but are not limited to filing, copying, and other administrative office duties.
* Create mailing lists for Development programs, events, and the annual report.
* Answer phone and email inquiries; manage departmental email; respond promptly to questions about giving opportunities at the Burke.
* Maintain up-to-date registrations with matching gift programs.
* Highly proficient with Microsoft Word, Excel, and donor databases.
* Attention to accuracy, detail, and thoroughness in completing assigned duties.
* Work well with others in person, by phone, and in written correspondence.
* Strong interpersonal skills and customer service.
* Ability to communicate diplomatically and effectively.
* Experience handling sensitive, confidential material.
* Ability to work independently and in a team setting.
* Ability to receive direction, problem solve, take initiative, set priorities, handle multiple projects, and exercise good judgment in a dynamic, deadline-driven environment.
* Knowledge of UW Advancement policies and procedures.
* Knowledge of the donor databases Advance and Salesforce.
* Knowledge of basic accounting and financial reconciliation practices.
* General understanding of museum organization and/or higher education.
* Ability to work occasional weekends and evening hours.
* Ability to lift 40-45 pounds, occasionally.
* Ability to travel independently to local or regional locations.
