Overview

The Executive Support Professional provides high-level administrative and operational support to the Executive Leadership Team, primarily the President and Chief Operating Officer. This role ensures executives operate efficiently through proactive calendar management, travel coordination, executive communication, and operational support.

The ideal candidate is highly organized, professional, and discreet, with the ability to anticipate needs, manage shifting priorities, and adapt to a fast-paced executive environment. This position also provides backup coverage for facility and front desk operations to ensure seamless office functionality.

Key Responsibilities
  • Administrative Support
    :
    Manage complex calendars, executive correspondence, documentation, and special projects while maintaining strict confidentiality
  • Meeting Coordination
    :
    Schedule meetings, prepare agendas and materials, coordinate logistics, and ensure executive readiness
  • Travel Management
    :
    Arrange domestic and international travel, itineraries, accommodations, and expense reporting
  • Executive Communication
    :
    Serve as a liaison with internal and external stakeholders, ensuring timely, professional communication
  • Project & Time Management
    :
    Track action items, deadlines, and priorities to support executive decision-making
  • Event Support
    :
    Assist with planning and execution of executive meetings, offsites, and company events
  • Facility & Office Coverage
    :
    Provide backup support for facility management and front desk operations as needed
  • Process Improvement
    :
    Identify opportunities to improve workflows and increase executive efficiency
Job Requirements
  • 2+ years of experience supporting C-level or senior executives
  • Exceptional organizational, time-management, and prioritization skills
  • Strong written and verbal communication abilities
  • High level of professionalism, discretion, and integrity
  • Proficiency in Microsoft Office 365;
    Canva experience a plus
  • Proactive, solutions-oriented mindset in a fast-paced environment
  • Flexible availability to support changing executive schedules
  • Strong attention to detail and follow-through
  • Ability to work independently and collaborate across teams
  • Bachelor’s degree in Business Administration or a related field preferred
