As the Administrative Assistant
, you will provide comprehensive administrative and operational support to the Area Office leadership team, with primary responsibility supporting the Senior Vice President. In this role, you will ensure smooth and efficient operations across the leadership suite through effective calendar management, travel coordination, event planning, internal communications, and administrative support.

You will thrive in a fast-paced, dynamic environment, handle sensitive and confidential information with discretion, and manage multiple priorities with a high level of professionalism and a service‑oriented approach.

What You’ll Do:
  • Serve as the primary administrative partner to the Senior Vice President.
  • Provide day‑to‑day administrative support to the Area Office leadership team, including Directors and Regional Managers.
  • Manage complex calendars, schedule internal/external meetings, and ensure alignment across stakeholder groups.
  • Researches, prioritizes, and follows up on incoming issues and concerns, including those of a sensitive or confidential nature.
  • Provides a variety of reports to location managers.
  • Assist in other roles/activities as assigned.
  • Coordinate domestic and international travel arrangements (air, hotel, car, etc.) for the SVP and leadership team.
  • Prepare detailed travel itineraries and ensure all logistics are aligned.
  • Process expense reports in a timely and accurate manner, adhering to company policy.
  • Draft, edit, and proofread internal communications, memos, and presentations on behalf of leadership.
  • Act as a liaison between the SVP/leadership and other departments or external stakeholders.
  • Handle incoming and outgoing correspondence with professionalism and confidentiality.
  • Plan and execute internal and off‑site meetings, team‑building activities, leadership retreats, and corporate events.
  • Manage logistics including venue booking, catering, technology setup, and attendee coordination.
  • Prepare meeting materials, agendas, and minutes as needed.
  • Maintain an organized, professional, and welcoming Area Office environment.
  • Order office supplies, coordinate facility needs and liaise with IT/support services.
  • Assist with onboarding logistics for new leaders assigned to the Area Office.
  • Participating in Human Resources related project.

What We’re Looking For:
  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Minimum 3–5 years of experience in an administrative or executive support role.
  • Proven ability to support senior‑level executives and manage multiple priorities.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools (Zoom, Teams).
  • Strong written and verbal communication skills.
  • High level of discretion and professionalism.
  • Ability to work independently and anticipate leadership needs proactively.
  • Discreet, trustworthy, and dependable.
