Axiom is seeking a dynamic Senior Document Control Specialist to support our client’s Seattle office in managing technical and project documentation. This on-site role is responsible for ensuring the integrity, accuracy, organization, and security of project documentation across multiple initiatives in a collaborative, fast-paced environment.
Position OverviewThe Senior Document Control Specialist manages digital and physical documentation systems to ensure proper version control, secure access, regulatory compliance, and timely distribution of documents to project teams and clients. This role plays a critical role in maintaining quality standards and supporting successful project delivery.
Key Responsibilities Document Management- Maintain structured electronic and physical filing systems for project documentation.
- Administer document management platforms (e.g., SharePoint, Project Wise, Kahua, or equivalent).
- Upload, scan, index, and archive documents in accordance with established procedures.
- Register and track drawings, specifications, reports, submittals, and transmittals.
- Maintain version control and document revision logs.
- Develop and manage submittal tracking matrices.
- Establish and monitor document retention schedules.
- Review documents for completeness, formatting accuracy, and compliance with project standards.
- Ensure adherence to contractual, regulatory, and internal QA/QC requirements.
- Maintain strict confidentiality of sensitive financial, payroll, training, and project data.
- Control document access permissions and authorization levels.
- Respond promptly to document and data requests from project teams.
- Distribute updated documents and communicate revisions to stakeholders.
- Prepare and transmit client-facing submittal packages.
- Maintain tracking logs and documentation registers.
- Transcribe meeting minutes and develop standardized templates as needed.
- Associate degree or higher in Business Administration, Records Management, Computer Science, or related field (or equivalent experience).
- Minimum 2+ years of document control or records management experience.
- Experience in engineering, construction, or technical project environments preferred.
- Experience managing confidential or sensitive documentation required.
- Proficiency with SharePoint, Project Wise, Kahua, Bluebeam, or similar document management systems is preferred.
- Experience with Adobe Acrobat and document imaging systems.
- Ability to manage high volumes of documentation with precision and accuracy.
Salary Range (Seattle, WA):
Compensation will be determined based on experience, education, and qualifications.
