You'll Do

As the Rent Receipt and Data Entry Specialist, your primary focus is to enter daily rent receipts into the Yardi database and communicate with YWCA Housing staff related to rent receipts for over 940 units of permanent housing. You will also communicate with property site staff and others, assist the Lead Housing Revenue Specialist and Revenue Manager with month-end reporting to Accounting Services, and input resident data into the Client Track database.

You will work with Client Data Services to maintain accuracy and complete Rent Receipt data requests as needed.

Responsibilities
  • Rent Receipt Posting and Reporting
  • Download daily Key Bank Lockbox and Orbipay Online Payment Portal deposit reports, review for accuracy, and resolve unknown entries prior to posting.
  • Review, process, and post rent receipts in Yardi daily
  • Identify, analyze, and resolve rent receipt variances to Yardi system data with input from the Lead Revenue Specialist
  • Process, follow up, and resolve RFIs (requests for information) and FYI notices to site staff and Housing Operations staff related to rent receipt variances
  • Copy, process, and mail rent payments received by Housing Operations daily according to internal control procedures; record processed payments in logs
  • Verify, resolve, and process Live Checks returned by Key Bank; communicate with property site staff using established notices to ensure timely posting
  • Process DND/Eviction payments or add-on/removal requests from sites and notify Lead Revenue Specialist; upload changes to Key Bank and complete site manager notifications
  • Download, verify, and document NSF payments
  • Keep Lead Housing Revenue Specialist and Housing Revenue Manager informed on status and completion of all rent receipt RFIs, FYIs, and other rent receipt information
  • For month-end reporting, complete and monitor accuracy of the Daily Rent Receipt Calculations Report and provide to the Housing Ops Revenue Manager
  • Complete other month-end duties as needed to assist Lead Housing Revenue Specialist and Revenue Manager; ensure on-time completion and accuracy
  • Maintain accurate paperless revenue files of all rent receipts monthly and annually; perform annual file transfers and archive preparation
  • With assistance from Lead Housing Revenue Specialist and Housing Revenue Manager, develop solid working knowledge of all Housing Operations systems, procedures, and Yardi
  • Assist Lead Housing Revenue Specialist & Housing Revenue Manager with daily tasks as needed
  • Client Track Data Entry
  • Input resident data into the Client Track database
  • Monitor data forms for accuracy and follow up with site staff to resolve missing or inaccurate data
  • Complete Data Accountability Requests from Client Data department as needed
  • Coordinate with Client Data staff to participate in ongoing Client Track trainings and system changes or upgrades
  • Maintain accurate Resident Data files to support ongoing data accuracy and integrity
Must Have
  • Minimum 1 year of experience in a role involving data entry and attention to detail
  • Basic office skills including organization and adaptability to changing priorities
  • Experience with Microsoft Office (Word, Excel, Outlook)
  • Willingness to learn and update skills to meet job requirements
  • Ability to work independently and as part of a diverse team; flexible and cooperative
  • Strong interpersonal skills with people of diverse cultures and backgrounds
