At PNNL, our core capabilities are divided among major departments that we refer to as Directorates within the Lab, focused on a specific area of scientific research or other function, with its own leadership team and dedicated budget. Our Science & Technology directorates include National Security, Earth and Biological Sciences, Physical and Computational Sciences, and Energy and Environment. In addition, we have an Environmental Molecular Sciences Laboratory, a Department of Energy, Office of Science user facility housed on the PNNL campus.
The National Security Directorate (NSD) drives science-based, mission-focused solutions to take on complex, real-world threats to our nation and the world.
The AI and Data Analytics Division (AIDA), part of the National Security Directorate, combines profound domain expertise and creative integration of advanced hardware and software to deliver computational solutions that address complex data and analytic challenges. Working in multidisciplinary teams, we connect foundational research to engineering to operations, providing the tools to innovate quickly and field results faster. Our strengths are integrated across the data analytics lifecycle, from data acquisition and management to analysis and decision support.
The Mathematics, Statistics, and Data Sciences (MSDS) Group within AIDA advances national security through innovative research and technology. Our mission supports efforts to safeguard nuclear materials, detect weapons of mass effect, and protect critical infrastructure. Leveraging decades of expertise in radiological sciences, advanced computing, and threat analysis, we deliver resilient solutions to counter emerging global threats.
ResponsibilitiesWe are seeking a highly organized, proactive Administrative Coordinator to join our Seattle office. This role provides critical support to the MSDS Group of approximately 70 staff members and collaborates closely with the AIDA Division, NSD, and Seattle Operations Team.
The ideal candidate thrives in a fast-paced, dynamic environment and demonstrates initiative, autonomy, and a high tolerance for ambiguity. Success in this role requires strong problem-solving and communication skills, exceptional attention to detail, and the ability to manage shifting priorities with professionalism and accuracy. We are seeking a positive, adaptable self-starter with experience supporting a variety of administrative functions in an office setting.
Core responsibilities include, but are not limited to, the following:
- Calendar & Travel Management
:
Coordinate complex schedules, arrange domestic and international travel, and organize meetings and events with precision. - Confidentiality & Integrity
:
Handle sensitive information with discretion and maintain the highest standards of professionalism. - Communication & Collaboration
:
Serve as a primary point of contact for staff and leadership, fostering strong relationships across teams and external partners. - Document & Process Management
:
Prepare and edit documents, process forms, and ensure compliance with organizational policies and procedures. - Continuous Improvement
:
Identify opportunities to streamline administrative processes and implement creative solutions for efficiency. - Team Support & Mentorship
:
Provide guidance to junior staff and contribute to a culture of collaboration and shared knowledge.
This position is based in Seattle, WA and requires an onsite presence 4 days/week.
QualificationsMinimum Qualifications:
- High school diploma/GED and 6 years of relevant experience in an administrative environment
-OR- - AA degree or higher and 4 years of relevant experience in an administrative environment
- Experience in planning meetings and coordinating travel
Preferred Qualifications:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and related productivity tools.
- Demonstrated excellence in written and verbal communication.
- Demonstrated ability to organize and prioritize multiple tasks with a high degree of accuracy.
- Experience managing office operations and delegating workflow effectively.
- Proven ability to plan meetings, manage calendars, and coordinate complex travel itineraries.
- Demonstrated adaptability and problem-solving in fast paced office environments.
- Experience in coordinating and managing events, including planning, scheduling, vendor negotiation, and ensuring seamless execution.
