King County Metro Transit's Employee Services division is seeking a highly organized, detail-oriented, and proactive HR Associate to join both our Leaves and Disability Services teams. The Leaves and Disability Services Associate provides critical human resources and administrative support and coordination for various aspects of leave and disability-related services offered to over 5,000 Metro Transit Employees. This includes coordinating meeting and training schedules, document creation and management, record-keeping, reporting and analysis, responding to inquiries to both teams, and supporting efforts to build a centralized leaves administration program for Metro.

This recruitment will fill one (1) Career Services, Leaves and Disability Services Associate vacancy. The selection process may be used to generate an eligibility list for future Career Service (CS), Special Duty Assignment (SDA) and Term Limited Temporary (TLT) positions in this classification and workgroup. The eligibility pool list is valid for up to 12 months from posting for use at the hiring authority's discretion.
Applying equity and social justice principles is a daily responsibility and a foundational expectation for all King County employees. As the HR Associate for the Leaves and Disability Services teams, you will:
- Provide comprehensive administrative and HR support to the Leaves Services and Disability Services teams, including meeting management, document creation and management, correspondence, and detailed record-keeping.
- Maintain confidentiality related to human resource issues including employment decisions, paid leave, and sensitive employee information and personnel records.
- Perform data entry into Metro Transit’s HRIS;
Human Capital Management software (People Soft), Electronic Employee Records software (Laserfiche), Origami, and other digital databases, in compliance with County policies and procedures. - Provide support to the development of centralized leave administration processes and practices for the various divisions within Metro Transit.
- Run People Soft queries to perform data analysis to troubleshoot leave accrual issues. Provide support to the teams by researching and gathering complex data to process and audit Personal Change Notices (PCNs), Paid Parental Leave, Military Leave, donated leave programs and Sick Leave donations, maintaining detailed records of employee absences and leave usage, responding to third party disability claims, opening new accommodation cases, and preparing reports on leave and accommodation activity as needed.
- Draft, proofread, disseminate, and record formal correspondence and documentation to employees about the designation, certification, overuse, exhaustion, and denial of leave benefits.
- Follow all established standards, procedures, and policies for HR systems, data management, record keeping, and privacy.
- Manage meeting coordination, division training, shared resources, contact lists, and provide general calendar support as needed.
- Serve as a first-line contact for both teams by fielding information requests and other inquiries from employees and staff who submit inquiries to the centralized Leaves Services and Disability Services mailboxes and fax lines. Provide employees with resources and general information on leave entitlements, policies, procedures, and answer any questions they may have.
- Gather documentation and confidential forms by contacting various stakeholders and partners as needed to ensure forward progress in administrative processing.
- Participate in ongoing process improvement initiatives to increase the efficiency and effectiveness of the administrative processes that support both teams.
- Assist with the CDL Medical Exam Reimbursement process, including answering calls from medical providers to confirm employment, verifying medical certificate results, gathering data for stakeholders, and notifying employees of reimbursement status.
- Assist with Respirator Clearance process by saving and sharing documents with appropriate parties.
- Provide quality customer service that reflects Metro Transit’s commitment to service excellence, especially when responding to employee inquiries about leave and disability programs.
- Assist with Disability Services teams with electronically saving paper files per record management and retention policies.
