Job Description:

  • Provide administrative support to leadership, including strategic calendar management and time planning support to Executives in the business.
  • Manage complex calendar and scheduling requirements for supported executives by proactively seeking out and triaging scheduling conflicts and staying ahead of opportunities to recommend meeting alternatives.
  • Ensure preparation of meeting settings, participant attendance, preparation of meeting materials, and preparation of delegates for meeting conflicts.
  • Track and help drive the completion of deliverables by following up on outstanding items.
  • Facilitate the client team experience activities by owning the coordination, logistics, and direction for team events and proactively driving actions needed to ensure event outcomes.
  • Work collaboratively with other executive assistants across the company.
  • Identify any process issues or bottlenecks in the team.
  • Require 5+ years of administrative, business support, or customer service experience in an environment with an emphasis on scheduling meetings/events and travel management supporting senior management.
  • Possess excellent communication and collaboration skills, both verbal and written. Be incredibly detail-oriented with strong problem-solving and project management skills.
  • Be an independent self-starter: capable of taking even the smallest project and running with it to successful completion. Have a working knowledge of contemporary collaboration and productivity tools such as Google Suite, Slack, Airtable, Coupa, and Lucid Charts.
