Position: Preferred Vendor Manager

Overview

We are building a best-in-class preferred vendor and compliance program that helps us attract and retain the best vendors, reduces risk, and makes life easier for community operations teams. The Manager will be responsible for the success of our preferred vendor program, serve as the primary point of contact for internal teams and external partners, and continuously improve how we vet, onboard, and manage vendors across CMH.

The manager will be the primary interface required to run the program. The Manager will also be responsible for developing a strategy and operational approach to expand the program with future acquisitions.

The Preferred Vendor Manager reports to the VP, New Services & Operations and partners closely with the Chief Growth Officer, Community Success / Operations, Community Finance, external partners, and leadership across CCMC and other CMH brands.

Responsibilities
  • Provide day-to-day operational oversight of the vendor management program at CCMC and forthcoming program at HOAMCO
  • Rollout and scale current vendor management programs to additional geographies
  • Accountable, along with the VP New Services & Operations, for delivering targeted financial and operational results from the program
  • Own CMH’s relationship with third parties
  • Provide leadership to and serve as primary point of contact for Community Operations teams around vendor management
Compliance
  • Introduce compliance process changes to Community Operations team members and guide them through process changes
  • Monitor community and portfolio-level compliance ratings; identify gaps, partner with Community Operations to close them, escalate as needed
  • Partner with Legal and Community Operations to continuously improve insurance requirements and risk management processes
  • Use VMS and other systems to track vendor vetting sign-ups, expiring credentials and renewal statuses
Preferred Vendor Programs
  • Design preferred vendor program benefits, analyze vendor data to identify high-performing vendors to include in program, design vendor communication strategy, drive vendor sign-ups and renewals
  • Engage Community Operations team in program delivery as needed
  • Analyze program KPIs and recommend process improvements to drive desired results
Allied Roles
  • Develop and deliver training for new hires and existing Community Operations teams on insurance basics, vendor vetting workflows, preferred vendor programs
  • Coordinate surveys and feedback loops with Community Operations teams to identify friction points and prioritize improvements in vendor management processes
  • Provide regular updates and insights to Community Operations and senior leadership on program performance and risks
Requirements
  • Bachelor’s degree
  • 4+ years of experience in HOA management
  • Prior data analysis experience / proficiency with Excel
  • Familiarity with vendor insurance and contracting concepts (COIs, additional insured, waivers of subrogation, hold harmless agreements, etc.)
  • Experience working with third-party platforms or ERPs to manage vendors, credentials, or payments (e.g., VMS, IPS, or similar systems)
  • Strong organizational skills and attention to detail; able to manage many vendors, communities, and deadlines simultaneously
  • Proven ability to build and improve processes, SOPs, and playbooks for users across different locations and levels
  • Clear, confident communication skills—capable of explaining requirements to onsite teams, vendors, and boards, and influencing stakeholders without direct authority
  • High initiative, resourceful, and comfortable working in a fast-evolving environment with new tools and processes
