Overview
The Group Rooms Coordinator is responsible for managing and coordinating all aspects of room block bookings and group reservations within the hotel's sales department. This role works closely with clients, sales teams, and other hotel departments to ensure seamless communication and effective execution of group bookings for events, conferences, meetings, and other large gatherings. The ideal candidate will have strong organizational skills, exceptional attention to detail, and a passion for providing excellent customer service.
Responsibilities- Coordinate group room bookings, ensuring that reservations are accurately processed and that room blocks are properly set up in the hotel's reservation system.
- Act as the primary point of contact for group booking inquiries and ensure that clients requests are addressed promptly and accurately.
- Communicate regularly with clients to confirm rooming lists, changes, and any additional requirements for their group.
- Maintain excellent relationships with group clients to ensure their needs are met and expectations are exceeded.
- Work closely with the sales team to understand group needs and ensure seamless transition from the sales phase to the operational phase.
- Collaborate with other hotel departments, including front desk, housekeeping, and food & beverage, to ensure that all group requirements are communicated and met.
- Monitor and track the pickup and occupancy of room blocks, ensuring proper adjustments and updates to the rooming list as needed.
- Adjust room blocks to maximize occupancy and revenue while ensuring client satisfaction.
- Maintain accurate records of group bookings, including contract details, billing information, and any special requests.
- Assist with the preparation of group booking contracts and follow up with clients for signatures and deposits.
- Ensure that all group clients receive excellent service from the moment they inquire to their final departure.
- Resolve any issues or concerns related to group reservations in a timely and professional manner.
- Provide regular reports on group room blocks, including revenue, occupancy, and group-related activities.
- Analyze trends and collaborate with the sales team to optimize group booking strategies.
- Other duties as assigned.
- At least 1-2 years of experience in a hotel sales or reservations environment, preferably with group or event booking experience.
- High School diploma or equivalent required.
- A degree in Hospitality Management, Business, or a related field is a plus.

- $23 - $25 per hour DOE.
Successful completion of a background check is required prior to employment.
