The Director of Private Events, Arizona provides leadership in the implementation and execution of Alliance Hospitality Group's on-site food and beverage event operational standards, procedures, and execution while ensuring the highest level of guest satisfaction related to the guests' experience for all Alliance Hospitality locations in Arizona. They partner with the California Private Events team and work closely with all restaurant leadership teams, hotel teams and the Guest Service Departments in Arizona.
The Director of Private Events is responsible for planning, organizing, and managing all aspects of private events and catering services, including coordinating with clients, managing logistics, ensuring excellent service delivery, and achieving financial goals.
- Manages and maintains relationships with current and previous clients.
- Strives to bring in and look for updated technology and industry trends.
- Responds to all inquiries within 24 hours.
- Continues to drive sales opportunities for the company.
- Independently focuses on revenue and sales opportunities for each concept.
- Finds creative marketing opportunities for revenue generation.
- Maintains strong organizational, leadership and communication skills to create memorable experiences and high guest satisfaction.
- Connects with clients to understand event and catering needs, preferences and budgets.
- Tours clients of the restaurant to understand the spaces better.
- Stays ahead of industry trends and understands the market and surrounding areas (restaurants, businesses, hotels, etc.).
- Active involvement in industry events, promoting AHG restaurants and private event opportunities.
- Designs and proposes tailored event and catering solutions including menus, layouts and timelines.
- Continues to pursue future sales opportunities with rebooking events and inquiries about other types of events.
- Continually hunts for sales opportunities through cold and warm calls.
- Creates monthly and annual sales goals for each restaurant and drives these goals for the entire Events Department to increase sales and profitability and support a future-focused vision for re-booking and new events.
- Works closely with the Marketing Department to ensure websites, photos and event materials are accurate and current for marketing plans.
- Manages and maintains relationships with each restaurant.
- Ensures accurate BEOs reflect guest expectations and are communicated and executed by the restaurant leadership teams.
- Manages clients with menu planning, food & beverage coordination, floor plans, timelines, rentals, etc.
- Maintains vendor relations.
- Continually finds creative ways to build connections and exceed client expectations.
- Updates Open Table for all events and updates.
- Oversees the entire Private Events Department and represents Private Events for Alliance Hospitality Group across Arizona restaurant and hotel locations.
- Maintains strong communication with Private Events Departments and Guest Services teams in California and Arizona.
- Manages and maintains relationships with each restaurant.
- Ensures proper communication with all restaurants regarding all BEOs.
- Ensures timeliness and smooth execution of all food and beverage orders.
- Communicates all special requests properly with all required parties.
- Develops, trains and motivates restaurant teams responsible for executing all BEOs.
- Manages calendar coordination with management and associated parties (valet, florists, cleaning crew, etc.).
- Verifies and updates the Events Book (and board) to reflect Tripleseat.
- Follows up with clients after events.
- Achieves budgeted revenues and personal sales goals.
- Develops new accounts, maintains existing accounts, and implements catering strategies to achieve catering revenue goals while maximizing profits and guest satisfaction.
