Responsibilities

The Infusion Coordinator serves as the central point of contact for coordinating chemotherapy and infusion treatments for oncology patients. This position is responsible for ensuring timely scheduling, patient education, coordination with the pharmacy, and seamless communication between providers, nursing, and administrative teams to deliver exceptional patient care. The Infusion Coordinator plays a critical role in supporting both clinical and operational efficiencies within the Medical Oncology department.

  • Coordinate infusion appointments and treatment plans in collaboration with providers and infusion nursing staff.
  • Serve as the liaison across departments—including providers, pharmacy, IR, radiology, PAC, RCM, and infusion—to ensure all pre-treatment requirements are met.
  • Confirm prior authorizations are in place before day of treatment.
  • Collaborate with the pharmacy to confirm medication availability and ensure mixing and delivery are aligned with patient treatment schedules.
  • Educate patients on their treatment regimen, what to expect during infusions, and address pre-treatment concerns or questions.
  • Monitor infusion schedules daily to ensure accuracy and efficient patient flow.
  • Notify providers and infusion staff of any delays, changes, or cancellations.
  • Maintain up-to-date knowledge of clinical protocols, infusion drugs, and safety procedures.
  • Facilitate communication between the patient and care team throughout the course of treatment.
  • Assist in the documentation and tracking of treatment regimens, lab requirements, and infusion orders.
  • Participate in staff meetings and collaborate with leadership to identify process improvements and enhance patient experience.
  • Ensure compliance with all HIPAA, OSHA, and infection control standards.

Qualifications
  • High school diploma or GED required.
  • Minimum of two (2) years of experience in a medical office or oncology/infusion setting.
  • Certification or background as a Medical Assistant, LPN, or RN is a plus.
  • Prior experience with infusion scheduling or working within a medical oncology clinic preferred.
  • Familiarity with payer authorization processes and infusion medication workflows preferred.
Knowledge, Competencies & Skills
  • Experience coordinating care in a clinical setting preferred.
  • Knowledge of oncology terminology, infusion protocols, and treatment cycles preferred.
  • Strong organizational skills and the ability to manage multiple priorities in a fast-paced environment.
  • Excellent communication and customer service skills.
  • Proficient with EMR systems and Microsoft Office Suite.

  • Must have the ability and willingness to travel to other sites as necessary within a geographic region.
Physical Requirements
  • Regularly required to sit and stand for extended periods.
  • Involves standing, sitting, walking, bending, stooping, and twisting.
  • Requires full range of body motion, including manual and finger dexterity and eye-hand coordination.
  • Occasionally lifts and carries items weighing up to 20 lbs.
