Role OverviewAs the Trajan Wealth Corporate Executive Admin, you will be the first point of contact for our company. You will warmly greet clients, answer and redirect phone calls, and manage other front-desk activities as needed. To succeed in this role, you should have a friendly demeanor, strong multitasking skills, excellent organization, the ability to remain calm under pressure, ability to work autonomously, and a collaborative spirit.
This role works very closely with all of our departments and Employees, including Trajan Wealth, Trajan Estate, and Trajan Tax.
- Greet and welcome guests upon arrival at the office.
- Direct visitors to the appropriate person or office.
- Answer, screen, and forward incoming phone calls.
- Ensure the reception area and the entire office is tidy, organized, and well-stocked with necessary materials (e.g., pens, forms, brochures).
- Provide basic, accurate information in-person, via phone, or email.
- Receive, send, sort, and distribute daily mail and deliveries.
- Order office supplies and maintain inventory for the Corporate Office.
- Review and Update calendars and schedule meetings.
- Perform other clerical tasks such as filing, photocopying, transcribing, and faxing as needed.
- Provide EA level support for Advisors for appointments, conference rooms, and office supply orders.
- 5+ years of proven experience as an Executive Administrator, or a similar clerical role. Experience in the Financial Services Industry preferred.
- Proficiency in Microsoft Office Suite and Adobe.
- Ability to work in a team environment.
- Hands-on experience with office equipment (e.g., fax machines, printers).
- Proactive and resourceful. Will be expected to make independent decisions.
- Team player with strong written and verbal communication skills.
- Excellent organizational, multitasking, and time-management abilities, with a focus on task prioritization.
- Strong customer service skills.
- Experience with Creatio CRM a plus
- $60,000 to $75,000 base salary depending on experience plus 10% yearly bonus
