Position OverviewThe Executive Assistant plays a critical role in supporting GTI’s CEO and CFO through high-level administrative coordination, communication management, and organizational efficiency. This position requires exceptional attention to detail, strong judgment, and the ability to anticipate needs in a fast-paced and evolving environment.
The ideal candidate is proactive, highly organized, and skilled in supporting executives with complex scheduling, deliverable management, and operational tasks. This role is on-site at our Scottsdale headquarters.
Key Responsibilities Executive Support- Manage and maintain executive calendars, including scheduling, prioritizing, and coordinating internal and external meetings.
- Arrange and oversee travel logistics, itineraries, and related documentation.
- Serve as a primary point of contact between executives and internal teams, partners, and external stakeholders.
- Personal errands/tasks
- Prepare, edit, and format documents, reports, presentations, and communications on behalf of leadership.
- Coordinate meetings, events, leadership sessions, and cross-departmental engagements, including agenda development and follow-up actions.
- Organize and maintain files, documentation, and confidential records with a high level of discretion.
- Conduct research, gather data, and compile information to support high-level decision-making.
- Track deadlines, deliverables, and action items to ensure timely execution of executive priorities.
- Assist with special projects, operational initiatives, and process improvements across the organization.
- Uphold confidentiality and protect sensitive business information at all times.
- Maintain polished, professional communication in all interactions, both internal and external.
- Provide high-level personal assistance to the CFO, supporting both professional and select personal priorities as needed
- Coordinate domestic and international travel arrangements for the CFO and her children, including flights, accommodations, transportation, and itineraries
- Manage personal and family scheduling, including appointments, school-related logistics, and calendar coordination
- Arrange dinner reservations, event bookings, and personal engagements with discretion and attention to detail
- Oversee gift selection, purchasing, and delivery for personal occasions, holidays, and special events
- Serve as a trusted point of contact for sensitive matters, exercising the highest level of confidentiality and professionalism
- Anticipate personal needs and proactively resolve scheduling or logistical challenges before they arise
- Bachelor’s degree in Business Administration, Management, Communications, or a related field (or equivalent experience).
- 3–5 years of experience as an Executive Assistant or in a similar high-level administrative role.
- Demonstrated ability to manage multiple priorities, deadlines, and projects with accuracy and composure.
- Exceptional written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with Teams and other preferred collaboration tools.
- Strong problem-solving skills and the ability to work independently with sound judgment.
- Proven ability to handle confidential or sensitive information with integrity and professionalism.
