BIT Case Coordinator – Position Overview

Under the supervision of the Director of Risk Services and Occupational Health, the BIT Case Coordinator will coordinate and support the work of the University Behavioral Intervention Team (BIT). The BIT Case Coordinator brings knowledge and skills related to behavioral risk identification and assessment, assists in referring identified individuals to services, and works with the Team to promote effective communication across and among the various offices, teams, and programs that are involved in behavioral evaluation and support as well as threat assessment and management.

Job Duties

70% – CASE COORDINATION

  • Reviews the BIT database daily and screens new cases.
  • Provides analyses for complex data systems and resource projects.
  • Completes an Intake form for each new case and enters it into the secure database.
  • Develops and implements a secure BIT database.
  • Manages case/supporting coordination and triage process.
  • Documents all BIT processes, case management plans, and follow‑ups.
  • Stores all communications, records, and documents according to confidentiality requirements.
  • Communicates by email or text the BIT to notify of urgent changes in case status or to arrange ad hoc meetings.
  • Follows up on action items from meetings.
  • Coordinates and enlists external resources and experts for case analysis and management.
  • Maintains an up‑to‑date list of core and adjunct BIT members and relevant department and office contact persons.

30% – RESEARCH, DEVELOPMENT AND TRAINING

  • Researches, monitors, and analyzes regulations, legislation, research literature, and UC policies for impact on the organization or initiative.
  • Researches and summarizes best practices in the field.
  • Conducts post‑implementation analysis to determine the need for further enhancements, finer distinctions, and/or additional processes.
  • Works collaboratively with BIT staff to develop proposals and recommendations to guide and support a broader strategic direction for the Behavioral Intervention Team or initiative, as needed.
  • Coordinates implementation with cross‑organizational departments or external entities as needed.
  • Researches and drafts complex proposals, reports, and briefings. Establishes and maintains contacts internally and with external constituents for the collection and exchange of data.
  • Develops scope of work and reports for project requirements.
  • Makes recommendations regarding the development and implementation of critical coordinated response systems.
  • May coordinate training of location department points of contact.
  • Works collaboratively with BIT staff in developing, revising, and evaluating educational materials as well as with other campus departments or units in identifying appropriate target audiences and subject matter for training.
  • Keeps appropriate records and maintains the confidentiality of all reports in accordance with UC policy and applicable laws and policies related to privacy and record retention.
  • Assists with Workplace Violence Prevention Plan research and case coordination.
  • Management of program development with risk analysis and research coordination.
  • Develops and coordinates risk programming and analysis.
  • Develops and implements campus education and outreach programs in coordination with BIT related to violence prevention, as applicable.
Required Qualifications
  • Bachelor's degree in a related area and/or equivalent experience and/or training.
  • Experience working with employee assistance programs to provide resources to clients in distress.
  • Experience managing responses to crisis situations and/or risk analysis.
