Our client is seeking an experienced Executive Administrative Assistant to provide high-level secretarial and administrative support to a Vice President.
Education & Experience- High School Diploma or GED with advanced secretarial training required
- Associate’s Degree in Business Administration, Office Management, or a related field preferred
- Minimum of 6 years of related administrative experience
Under limited supervision, provides high-level secretarial and administrative support to the Vice President. Maintains a्म close and highly responsible working relationship with corporate officers, business unit managers, and their staff. Performs a wide range of administrative duties independently, requiring sound judgment, initiative, and a strong understanding of organizational structure, policies, programs, and office procedures.
Principal Duties and Responsibilities Essential Functions- Serves as the primary point of contact for matters directed to the Vice President; researches, prioritizes, and determines appropriate action, referral, or response.
- Manages the Vice President’s calendar, schedules appointments independently, coordinates meetings, and assembles required background materials.
- Makes travel arrangements as directed.
- Prepares correspondence, memoranda, minutes, VECTOR lines to speeches, and special reports to a high standard under tight deadlines; may sign routine correspondence on behalf of the Vice President.
- Prioritizes and routes mail and requests appropriately.
- Handles highly confidential information related to budgets, employee performance, compensation, and operations.
- Screens and manages incoming calls for the Vice President, redirecting as necessary.
- Acts as a key liaison with senior executives, business unit managers, and internal/external stakeholders.
- Compiles and analyzes data from multiple sources to prepare reports and presentations.
- Establishes and maintains organized department files in a timely manner.
- Plans and coordinates meetings, round tables, luncheons, and similar events.
- Performs other duties as assigned.
- Proven ability to manage multiple priorities, exercise independent judgment, and maintain confidentiality.
- Proficiency with standard office equipment and software; strong knowledge of administrative principles abilities and practices.
