Nature and Scope

The Administrative Assistant – Summer Student provides administrative functions and support at SIIT's Head Office location, while maintaining a high degree of accuracy and careful handling of highly confidential and sensitive information. General Accountability

The Administrative Assistant – Summer Student will have the opportunity to gain excellent experience while developing the skills necessary to be successful in their future. The summer student will have an opportunity to improve their teamwork and communication skills, as well as, their administrative skills and leadership capabilities. This position includes the following broad range of accountabilities:

Specific Accountabilities

  • Knowledge of the functions, purposes and programs of SIIT to answer and direct routine inquires and promptly respond as required
  • Answer the phone in accordance with SIIT standards; transfer calls where appropriate and take messages as required
  • Greet and interact with clients and visitors in a timely, professional and pleasant manner; coupled with determining the nature of visitors' business and providing appropriate information
  • Management of the front office which includes being responsible for opening and closing the office by following applicable procedures; as well as maintain a clean atmosphere on the main floor, lunchroom, meeting rooms and front reception area at all times
  • Provide professional administrative assistance to your direct supervisor and to employees in your department in order to support the accomplishment of business activities
  • Maintain the paper and paperless filing systems of the department
  • Carry out data entry and quality control of data
  • Receive, sort, and send mail, courier packages, and faxes
  • Create and maintain efficient and detailed electronic and paper file management processes
  • Manage the meeting rooms booking system and ensure timely stocking and replenishment of departmental and meeting room supplies
  • Maintain regular communication with other SIIT Administrative Staff to ensure consistency in communications, SIIT practices and procedures
  • Provide additional support on special projects and department initiatives as required


There may be some summer student positions that must meet the following criteria:

  • First Nations and Inuit secondary and post-secondary students aged 18 to 30 inclusive
  • Ordinarily resident on reserve or in recognized communities or on community lands
  • Legally entitled to work in Canada
  • Registered as students during the preceding academic year and who intend to return to studies in the next academic year


Position Requirements:
Prior experience working with Microsoft Office suite of programs is an asset. As an employee in the Finance department, this position is subject to accept or handle monies on behalf of SIIT. Therefore, a cleared criminal record check (CRC) is required.
