Licensing & Reporting Compliance Specialist - Out of State Department

This role blends research, project ownership, state communication, and hands-on execution. You’ll handle everything from applications and renewals to brand registrations and reporting cycles—while helping our clients stay compliant and stress-free.

What You’ll Do

Regulatory & Licensing Work

  • Prepare, submit, track, and maintain alcohol-related licenses, tax accounts and brand registrations across multiple states and tiers.
  • Assist with monthly, quarterly, semiannual, and annual compliance reporting.
  • Manage DTC and three-tier tax accounts and maintain accurate online and hard-copy submissions.
  • File license cancellations and corresponding final reports, ensuring all related trackers are accurately updated.

Compliance Operations & Project Work

  • Conduct compliance audits and produce clear, accurate documentation.
  • Perform state regulatory research, communication, and cross-department collaboration.
  • Lead Online Account Migration projects and contribute to complex infrastructure initiatives.
  • Maintain organized electronic files, records, and client documentation.
  • Play an essential role in fiscal license renewal periods as part of the renewal team.
  • Support department process improvements and keep internal procedures current.

Client Support & Communication

  • Collaborate with Specialists II and III, supporting client tasks and communications.
  • Participate in client meetings and maintain a polished, professional company image.
  • Delegate tasks to Compliance Assistants when appropriate.
  • Maintain strict confidentiality and demonstrate the judgment to handle sensitive information.

General & Administrative Responsibilities

  • Stay ahead of state and federal regulatory changes and share findings with the team.
  • Track and reconcile billable and administrative time accurately.
  • Support daily administrative tasks—mail prep, scanning, filing, photocopying.
  • Participate in company meetings, presentations, and team training efforts.

What You Bring

  • 3+ years of wine industry compliance or regulatory experience, distilled spirits knowledge a bonus.
  • Ability to work independently and collaboratively with teams of varying experience levels.
  • Strong organizational skills, high accuracy, and a stubborn refusal to let details slip.
  • Excellent research, communication, and relationship-building abilities.
  • Proficiency in Microsoft 365, Outlook, Excel, Adobe Acrobat, and Ship Compliant.
  • Bonus points for experience with the TTB COLA Registry or Net Suite.
  • A proactive mindset—always looking for better ways to work.
  • Comfort with standard office equipment and digital tools.
  • A valid driver’s license and occasional travel availability.
  • Flexibility to work extended hours during peak regulatory seasons.
