Join our Construction Administration team! Project Coordinator is an administrative position that handles the daily tasks of various projects in construction, typically resolving common challenges as they appear. Using problem solving and critical thinking abilities to resolve issues and maintain connectivity between QKA clients, construction team and QKA design team quickly and logically. The Project Coordinator works alongside the Construction Administration Project Manager (CAPM), Assistant Construction Administration Project Manager (ACAPM) and Studio Lead to administer the project needs from Pre-Design to Contract Closeout.

This position is based in our Santa Rosa, CA office.

This position is full-time, non-exempt hourly, eligible for benefits, and reports to the Director of Construction Administration. Base pay range for this position is $30 to $33 per hour. Compensation for this role is based on experience, job-related knowledge/education and qualifications. This position is not Remote, as it requires availability to work in-office. We offer the flexibility of a hybrid work environment, with an established 24-hour in-office/or in-the-field per week requirement after 90-days of employment.

Responsibilities
  • Facilitate and coordinate project management activities, resources, equipment and information under the supervision and direction of Studio Lead, CAPM, ACAPM, and Design Team
  • Coordination with the other members of the project design team, including consultants
  • Maintains proper communication with consultants, contractors, construction managers, and Inspectors of Record, also includes communication with Division of the State Architect (DSA)
  • Maintain project records in Vantage Point
  • Processing and filing proper documentation with the Division of the State Architect (DSA)
  • Act as a point of contact and be able to communicate project status to all participants
  • Use tools to monitor working hours, project budgeted hours and expenditures
  • Ensure standards and requirements are met in a timely manner
  • Process Submittals, RFI’s, ASI’s, RFP’s and CCD’s
  • Process COR’s, and Prime Contract Change Orders
  • Draft and process Consultant RFP’s, client and consultant fee adjustments and other similar project developments through design and construction
  • Create and maintain comprehensive project documentation, plans and reports

These responsibilities are typical but are not all-encompassing. Each person is expected to work collaboratively as a team and perform the duties required to deliver a quality product on schedule, within the project budget and the budgeted hours provided.

Knowledge and Experience

  • Must have a High School Diploma, plus 3 – 5 years of relevant experience working in Architectural/Engineering/Construction field
  • 2-year familiarity with standard construction procedures, process, and terminology
  • High level of attention to detail and ability to learn and consistently follow procedures
  • Excellent organization, prioritization, and multi-tasking skills
  • Ability to constantly shift workflow throughout the day
  • Proficient in basic math and basic accounting
  • Excellent written and verbal communication skills
  • Experience working collaboratively as part of a team in a fast paced and often demanding environment
  • Proficient in Microsoft Office applications, including Word, Excel, and Outlook
  • Experience with Procore or similar construction database program is preferred
