SUMMARY: Performs all areas of administrative duties as it pertains to the Housing Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES:Limoneira’s job descriptions describe the key areas of responsibility, but do not attempt to describe all activities or areas of responsibility. In most cases the description covers approximately 80% of an individual's daily, weekly or monthly job duties.
- Assist with tenant communications and all paperwork
- Asist potential tenants fill out rental application and answer their questions
- Process applications and background checks, show units
- Prepare new rental contracts
- Review and update all tenant information in App Folio
- Conduct all inspections and violation compliance inspections
- Prepare, mail and file violation notices to tenants and follow up on compliance issues
- Enter rent payment receipts into Appfolio; code and forward all deposits to accounting
- Mail out monthly statements and prepare late notices
- Set up and track all billing for land leases
- Reconcile aging reports
- Run monthly accounting reports from Appfolio
- Monthly water usage database entry; take minutes and prepare visual graphs for water meeting
- Monthly tenant data reporting
- Pesticide/Herbicide notification to Tenants
- Organize events and services for tenants
- Review maintenance employees’ daily reports and ensure they are inputted into Appfolio
- Enter all temp labor times and descriptions into Appfolio
- Review Security reports daily; notify department managers of any incidents reported
- File documents daily for Director of Housing & Commercial Operations
- Utilize postage meter, mail out packages and letters
- Perform all other duties as directed by the Director of Housing and Commercial Operations or Management

- EDUCATION and/or
EXPERIENCE:
Must have a high school diploma or equivalent; must have at least 2 years’ experience as an administrative assistant; must possess a valid California driver’s license, maintain a clean DMV record, and be able to be insured by the Company’s auto carrier.
SKILLS and ABILITIES:
Must have a good understanding of general office procedures and practices; must be able to read and comprehend instructions; must be fluent in English and Spanish to communicate with supervisor, coworkers, and tenants; must be able to follow instructions; must be able to accept responsibility for the action and results and follow through on commitments and deadlines; must be able to keep work area and files organized;
must be able to compartmentalize tasks.
