Overview
GENERAL MANAGER – HOAMCO (Santa Fe, NM)
Under general supervision of the Executive Vice President and/or Regional Director, the General Manager is responsible for overseeing the overall operations and the maintenance of physical property of the Association, budget creation and oversight, project management, and asset preservation. The General Manager provides guidance and direction to the Board, oversight for all aspects of legal, financial, and governance of the Association, and actively supports the community’s values, vision, and philosophies.
The General Manager is expected to exhibit a leadership style that ensures residents’ needs are met with a high level of satisfaction. The General Manager also serves as a crucial liaison between HOAMCO and the Association, facilitating effective communication and coordination.
The General Manager supervises all on-site staff, facilities, and all facets of on-site maintenance.
Qualifications- CMCA certified or higher management designation is REQUIRED.
- At least 3 years of HOA management experience in the role of a dedicated General Manager, Community Director, or Association Manager is REQUIRED.
- Serve in a key community leadership role aimed at building and maintaining connections and opportunities that foster a true sense of community. Provide advisory support to the board for long-term planning, goal-setting, and policy making guidance.
- Act as a liaison between HOAMCO and assigned community.
- Communicate proactively and transparently while building relationships with board members, residents, and staff.
- Facilitate regular meetings with the Developer, board members, residents, and volunteers to ensure open lines of communication.
- Oversee the daily operations, management, and maintenance of community assets.
- Maintain Association’s annual management calendar.
- Manage on-site personnel including hiring, training, development, supervision, and performance evaluations; ensure adherence to all guidelines, policies, and procedures established by the Association and HOAMCO.
- Handle residential files and records, legal documents, property deeds, construction plans, member rosters, contracts, annual reports, meeting minutes, and other relevant records; attend Board and Committee meetings.
- Participate in all community meetings, town halls, and events.
- Prepare timely weekly, monthly, quarterly, and annual reports; maintain priority action list and provide status updates to the Board.
- Coordinate long-term and strategic planning sessions for the Board; leverage resources to execute directives and achieve goals.
- Oversee service contractors, negotiate contracts, and obtain bids as directed by the Board.
- Ensure procedures are followed for vendors, contractors, service requests, and maintenance logs; inspect assets and recommend repairs or replacements; develop a maintenance program.
- Maintain and uphold the community’s standards per laws, CC&Rs, and design guidelines.
- Facilitate the architectural design review process and oversee CC&R compliance.
- Ensure liability and insurance policies comply with governing documents and laws.
- Develop and implement a comprehensive risk management program with industry experts.
- Ensure proper documentation for workers’ compensation, liability insurance, and contracts before engaging work for properties managed by HOAMCO.
- Assist the Board in preparing the annual budget; administer operating and reserve budgets.
- Review monthly financial packages and prepare budget variance reports; seek opportunities to improve service or reduce costs.
- Review contractual services annually to ensure objectives are met; process invoices as required by the Board.
- Ensure notices are accurate and distributed timely; process correspondence and respond to inquiries professionally and promptly.
- Prepare Board packets, agendas, and management reports; develop and distribute the community newsletter; maintain the Association website.
- Perform other duties as assigned to support the community’s success; attend HOAMCO training classes and meetings as requested.
