Join our team at Homewise as a Facilities & Support Specialist. We are currently seeking a dedicated and customer-focused individual to support various teams within our organization. As a Facilities & Support Specialist, you will play a crucial role in ensuring the smooth operation of our office and delivering exceptional customer service.
Essential Duties and Responsibilities:
- Provide backup support for the Home Purchase Advisor and Technology teams when necessary.
- Collect and log client payments and fees.
- Greet clients, answer phone calls, provide directions, and promptly address simple routine concerns professionally and on time.
- Communicate general information to clients and staff members.
- Maintain office activity logs, files, and documents.
- Manage office inventory supplies and replenish them as needed.
- Utilize computers to create presentations and conduct research as required.
- Provide responsive and helpful customer service and support to all customers and potential customers, both in person and over the phone. Guide them to the appropriate Homewise department, conduct basic customer information lookup, and assist with scanning customer documents as needed.
- Sort and distribute mail and general mailbox email, including maintaining mailbox assignments.
- Ensure the front lobby area is neat and orderly, stocking and organizing supplies such as water and coffee.
- Provide administrative support for Homewise training classes, including registering customers and making reminder calls.
- Collaborate closely with other internal departments, including Home Purchase, Loan Servicing, and Marketing, to ensure best practices in service provided to clients and staff members.
- Utilize the Homewise, Inc. STARS database system, Outlook, and other electronic tools to provide the best service to clients and staff members.
- Comply with all applicable regulations, policies, and procedures.
- Complete other duties as assigned.
Education and Experience:
- High school diploma or equivalent.
- Ability to travel as needed.
- Must be available to work Monday to Friday, 7:45 am - 5:15 pm.
- This role is primarily sedentary, with occasional lifting of objects weighing up to 20 pounds.
