Position OverviewTribal One is seeking a Secretary III to provide advanced administrative and clerical support at the Santa Fe Indian Health Center (primary duty station). This role supports multiple departments, including Administration, Finance, Front Desk, and Greeter operations. The Secretary III may also rotate to three (3) satellite clinics in the Santa Fe area as needed.
This position requires strong organizational skills, professionalism, confidentiality, and the ability to work independently with minimal supervision. Scheduling will be coordinated by the assigned Scheduler and Government Point of Contact. On-call assignments may occasionally include weekend or holiday work, with all requirements communicated in advance.
This position is contingent upon contract award. Employment and onboarding are subject to the successful execution of the contract and receipt of government authorization to proceed.
Key Responsibilities- Correspondence and Records Management
- Receive, route, and track controlled correspondence, memoranda, and reports.
- Prepare, edit, and finalize documents including letters, meeting minutes, charts, forms, and reports.
- Maintain filing systems, office records, and controlled document logs.
- Scheduling and Meeting Support
- Manage calendars for leadership, schedule appointments and coordinate meeting logistics.
- Prepare meeting agendas and materials, attend meetings and document minutes.
- Track action items and follow up with staff as required.
- Front Desk and Visitor Support
- Screen calls and visitors, answer procedural questions and direct inquiries appropriately.
- Provide exceptional customer service to patients, staff, and guests.
- Administrative Operations
- Assist with procurement of supplies and maintain office inventory.
- Prepare travel requests and assist staff with travel-related paperwork.
- Perform timekeeping duties within ITAS and track recurring administrative reports.
- Compliance and Onboarding Support
- Coordinate orientation for new staff and contractors and track required training.
- Perform fingerprinting and ensure background investigation documents are accurate and complete.
- Maintain confidentiality and comply with HIPAA and privacy requirements.
- High School Diploma or GED.
- Must pass a federal background check and fingerprinting process.
- Must maintain strict compliance with HIPAA, Privacy Act requirements and SFIHC internal confidential protocols.
- At least three (3) years of secretarial or administrative experience, preferably in a healthcare or federal environment.
- Proficiency in Microsoft Office (Word, Excel, Teams) and office automation systems.
- Strong writing, communication, and customer service skills.
- Ability to manage competing priorities with accuracy and professionalism.
- Must pass drug screen and remain in compliance with drug‑free workplace policies.
- Must be either a citizen of the U.S. or a non‑U.S. citizen who has been lawfully admitted for permanent residence as evidenced by a Permanent Resident Card (USCIS I‑551).
- Experience with RPMS/EHR, ITAS, or similar systems.
- Familiarity with HIPAA requirements and clinical administrative workflows.
- Prior experience supporting federal or Tribal organizations.
- Monday through Friday, 8:00 AM - 5:00 PM.
- Position is hourly/non‑exempt and includes a one (1) hour unpaid lunch.
- Occasional on‑call, weekend, or holiday support may be required.
- One (1) hour of paid sick leave for every 30 hours worked, up to 56 hours paid sick leave each year (in accordance with Executive Order 13706).
- Paid vacation after one (1) year of service (continuous employment).
- A minimum of 11 paid holidays per year.

Salary: $23.29 - $23.29 per hour
