DEFINITIONUnder general supervision, performs a variety of administrative, technical, and clerical duties supporting the daily operations of a division; receives visitors, responds to calls, emails, and refers individuals to appropriate Agency offices, compiles, proofreads and prepares reports and correspondence, provides assistance for a wide variety of assignments related to administration of budgets, contracts, and department programs, and performs other related duties as required.
DISTINGUISHINGCHARACTERISTICS
This is a journey-level classification responsible for independently performing technical and administrative duties in support of the daily operations of an Agency division. Positions at this level exercise judgment and initiative in their assigned tasks, receive only occasional instruction or assistance as new or unusual situations arise and are fully aware of the operating procedures and policies of the work unit.
SUPERVISIONRECEIVED/EXERCISED
Receives general supervision from assigned supervisory or management personnel. Exercises no direct supervision over staff.

Duties may include, but are not limited to, the following:
- Provides professional administrative, and technical, project and/or program support for assigned management, division staff, and/or boards and commissions, acts as a liaison between management and other staff, outside agencies, and the public.
- Provides office, clerical, and administrative support to management staff and other personnel in one or more departments; researches, compiles, and organizes a variety of information from various sources on specialized topics related to projects, programs, and/or services in assigned areas; assists with a variety of department operations.
- Composes, types, edits, and proofreads a variety of documents, including forms, memos, administrative, statistical, and financial reports, and correspondence for department management and staff; inputs and retrieves data; verifies and reviews forms and reports for completeness and conformance with established regulations and procedures; applies policies and procedures in determining completeness of applications, records, and files.
- Prepares and processes administrative documents such as permits, requisitions, and contracts; prepares documents for human resources, fiscal, purchasing, project or Agency program areas.
- Assists in conducting and completing surveys and studies; assists with preparing and assembling reports, presentations, marketing materials, and databases; assists in the administration and coordination of special events, trainings, programs, and projects.
- Receives visitors and answers phones at the front desk; provides technical information and assistance related to office or program operations, policies and procedures; or directs to appropriate personnel; exercises independent judgment in resolving a variety of issues and refers difficult issues inquiries to management as necessary.
- Coordinates meetings, seminars, conferences, and training sessions for division staff; acts as meeting and/or committee secretary including preparing agendas and informational packets, setting up the room, operating audiovisual equipment, and taking and transcribing minutes for assigned boards, committees, and commissions; monitors and orders office supplies; prepares, processes, and tracks purchase requisitions for services and materials; receives vendor invoices; prepares requests for payment for management approval;
schedules repairs for office equipment. - Communicates with various personnel and departments, community organizations, state and local agencies, and the public to coordinate activities, exchange information, and resolve issues and concerns.
