Space Planner / Moves Manager
Our client, a leader in commercial real estate, is seeking a Space Planner / Moves Manager to support a large corporate campus known for frequent relocations, reconfigurations, and space optimization initiatives in Santa Clara, CA
. This is a full-time, on-site role operating 9:00am-5:00pm that may require evening and weekend hours to support large moves. This position starts as a 4.5 month contract opportunity
. The ideal candidate has 3–5 years of experience in move management or space planning, with strong organizational skills, vendor coordination experience, and a client-focused approach.
Key Responsibilities
- Plan and manage internal moves, relocations, and reconfigurations (small to large scale)
- Lead move schedules, vendor coordination, and project execution, including after-hours work
- Act as primary point of contact for move-related activities and communications
- Ensure pre- and post-move readiness, including clean-up and workstation setup
- Collaborate with internal teams, vendors, and clients to ensure smooth transitions
- Submit purchase requests, track POs, and manage vendor invoicing
- Oversee onsite furniture inventory with the warehouse team; conduct regular audits
- Support and back up the MAC Coordinator on daily moves and team operations
- Maintain documentation, audit work spaces, and ensure compliance with safety and space standards
Qualifications
- 3–5 years of experience in move management, space planning, or facilities
- Strong communication, leadership, and vendor management skills
- Proficiency in Microsoft Office (Excel, Word, Outlook); SAP and CAD a plus
- Ability to manage multiple priorities in a fast-paced, client-facing environment
- Strong organizational and analytical mindset
Nice to Have
- Experience with high-volume or event-driven corporate environments
- Familiarity with workplace operations, soft services, or facilities certifications (IFMA, BOMA)
