Office Administrator/ Coordinator
CAIR San Francisco Bay Area is seeking a detail‑oriented and mission‑driven candidate for its Operations Coordinator position. This role will serve as the first point of contact at our Santa Clara office while also supporting the organization's internal systems in finance, HR, IT, and facilities. The ideal candidate will bring experience in office operations, vendor coordination, and HR/finance support, and will thrive in a fast‑paced, mission‑driven nonprofit environment.

LocationBased in CAIR’s Santa Clara office. In‑person, five days per week.
Schedule TypePart‑time (Non‑Exempt). Fixed schedule of 8:00 am‑12:00 pm, Monday through Friday, with daily attendance required. Occasional evenings and weekends may also be required.
Job TermOne‑year position with potential for renewal dependent on performance and funding.
Start DateImmediate availability preferred.
Reporting RelationshipsReports to the Operations Manager.
Work AuthorizationMust be authorized to work in the United States.
Duties & Responsibilities Office & Facilities- Serve as the first point of contact for visitors as well as phone and email inquiries.
- Ensure reception and shared office spaces are welcoming, clean, and aligned with office protocols.
- Support facilities management, including property maintenance, supply orders, and vendor coordination.
- Take initiative to address day‑to‑day operational needs, stepping in as needed to keep the office environment safe and functional.
- Assist with vendor relationships, contracts and purchasing, obtaining executive signatures as needed.
- Support recruitment efforts by posting jobs, screening resumes, and scheduling interviews.
- Ensure employment law postings are current and visible in the office.
- Provide basic troubleshooting support to staff and coordinate with IT vendors.
- Ensure systems are functional and staff have timely support for tech needs.
- Support employee recognition initiatives and team‑building activities.
- Help implement standards that foster professionalism, inclusion, and well‑being.
All CAIR staff are required to assist in general duties such as answering phones, weekly outreach, and other office tasks.
Required Qualifications- At least two years of professional experience in operations or a related role.
- Strong organizational and time management skills with attention to detail.
- Consistent punctuality and reliability.
- Effective verbal and written communication skills.
- Proven ability to exercise discretion, maintain confidentiality, and set appropriate professional boundaries.
- Flexibility and willingness to take on both routine and unexpected tasks, including facilities and office management needs.
- Proficiency with Microsoft Office Suite, Outlook, SharePoint, and Adobe.
- Ability to work in a fast‑paced, multicultural environment.
- Valid driver’s license, vehicle, and ability to travel throughout the Bay Area.
- Deep commitment to CAIR‑SFBA’s mission to defend civil rights and build community power.
- Prior experience as an operations coordinator or receptionist.
- Nonprofit work experience, especially in community‑based or faith‑based settings.
- Proficiency in a second language such as Arabic, Farsi/Dari, Urdu, or Spanish.
- Compensation in the range of $30.98 – $38.73 per hour, commensurate with experience.
- 5 sick days per calendar year.
- 3% retirement matching contribution.
- 12 paid holidays.
