You Are:We are seeking an experienced Administrative Assistant to provide high-level support to senior leaders, ensuring seamless calendar management, travel coordination, expense reporting, and team operations.
The Opportunity:- Provide executive-level administrative support to senior leadership, including:
- Calendar management, travel coordination, and expense reporting.
- Email communications and meeting/event planning.
- Prepare and manage vendor requests and purchase orders.
- Coordinate team meetings and activities:
- Assist with agendas and track action items for follow-up.
- Collect and prepare information for executive discussions and meetings with internal and external stakeholders.
- Prepare presentation materials for Board of Directors meetings and other high-level engagements.
- Assist with coordination and tracking of key team data (budgets, projects, timelines), liaising with Finance, Accounts Payable, IT, and other internal teams.
- Support team members in preparing PowerPoint presentations, Word documents, and Excel spreadsheets.
- Handle general office duties:
- Manage office supplies, maintain confidential records, and affix corporate seal.
- Manage and execute special projects and group task lists as assigned.
- Make high-level contacts of a sensitive nature inside and outside the company.
- Work on problems of diverse scope requiring analysis and sound judgment.

What You Need:- Minimum 5+ years in a corporate administrative role.
- At least 3+ years supporting senior executives.
- In-depth understanding of company operations, policies, and procedures.
- Ability to multi-task, prioritize, and meet deadlines with minimal supervision.
- Excellent organizational skills, attention to detail, and timely follow-through.
- Strong interpersonal skills with professionalism and diplomacy.
- Clear and concise communication style.
- High integrity and ability to maintain confidentiality of sensitive information.
- Proven ability to interact with customers, vendors, visitors, and dignitaries.
- Mastery of Microsoft Outlook, Word, PowerPoint, and Excel.
- Ability to learn and adopt new office technologies.
- Professional certification or equivalent experience preferred.
- Demonstrated ability to quickly learn organizational policies and convey them to others.
Compensation can differ depending on factors including but not limited to the specific office location, role, skill set, education, and level of experience. UST provides a reasonable range of compensation for roles that may be hired in various U.S. markets as set forth below.

Compensation Range: $42,000-$63,000
BenefitsFull-time, regular employees accrue a minimum of 10 days of paid vacation per year, receive 6 days of paid sick leave each year (pro-rated for new hires throughout the year), 10 paid holidays, and are eligible for paid bereavement leave and jury duty.
