About the Role

Fresh Tax is expanding quickly, and we're looking for driven, organized, and customer-focused Junior Case Managers to support our Case Management department. As a Junior Case Manager, you'll assist senior team members in managing client files, gathering documents, preparing forms, and providing updates throughout the early stages of the tax resolution process.

This role is perfect for someone who wants to grow into a full Case Manager position. You'll learn tax resolution from the ground up, gain hands-on experience, and contribute to helping clients find relief from IRS challenges.

Important: This role is 100% on-site at our Santa Ana, CA headquarters. We succeed through teamwork, communication, and a high-energy office environment.

Compensation
  • Hourly Pay: $18.00 - $22.00 per hour (based on experience).
  • Performance Bonuses: Based on productivity, quality, and team contribution.
What You’ll Do

File Support & Documentation:

  • Assist in managing a high-volume caseload alongside Senior Case Managers.
  • Request, track, and organize client documents and IRS forms.
  • Review submissions for accuracy and completeness before passing them to senior staff.
  • Upload all documents into the CRM correctly and promptly.

Client Communication:

  • Make outbound calls to collect paperwork, answer basic questions, and provide status updates.
  • Maintain consistent touchpoints with clients to keep them engaged and informed.
  • Help clients complete IRS forms with clear instructions and guidance.

Case Progression:

  • Keep detailed notes on every interaction inside the CRM.
  • Follow up on pending items to prevent delays in the resolution process.
  • Assist Senior Case Managers in preparing case files for submissions and resolutions.
  • Learn foundational knowledge of IRS and state processes to support cases effectively.
What You’ll Need to Have
  • Full-time availability (Monday-Friday, 8:00 AM - 5:00 PM).
  • 6+ months of experience in administration, customer service, or a similar role.
  • Strong communication skills - written, verbal, and phone etiquette.
  • Ability to stay organized and manage multiple tasks in a fast-paced environment.
  • Comfortable learning new systems and working in a CRM.
  • A positive, client-first mindset with strong attention to detail.
  • Spanish-speaking skills are a plus (not required).
