The HVAC (aka Thermal) Service Coordinator works with the Thermal Service, Sales, Accounting and Service Sales Departments in handling service dispatch and coordination. This person provides assistance needed to the Thermal Service Manager including answering daily service phone calls, service dispatch for Thermal Technicians and being a collaborative team member of the Thermal Services Department. This is a high‑paced department with ever‑changing developments that requires working and communicating with all levels of the company.

It requires high attention to detail, accurate and timely delivery of information while assisting with multiple responsibilities simultaneously.

We are a hybrid workplace collaborating in person in our office 3 out of 5 business days weekly including every Tuesday.

WHAT YOU WOULD BE DOING
  • Work with other dispatchers to answer daily HVAC (aka Thermal) service calls, repairs, and requests that come into the PA Service Department.
  • Process service tickets through the Company business solution (Acumatica / Service Trade) including parts orders, customer follow‑ups and sales follow‑ups.
  • Send pre‑start‑up checklists and service authorizations as needed to schedule work for technicians.
  • Create preventive maintenance (PM) tickets once the contract is entered into Acumatica/ Service Trade.
  • Update each contract list with updated details.
  • Confirmation of thermal service calls with customers for proper dispatching.
  • Verify customer account details to dispatch service including billing terms.
  • Thoroughly understand thermal billing process and assist Billing Coordinators when needed.
  • Review project budgets for proper service coordination.
  • Follow up on open thermal customer service matters such as service reports and emergency service requests.
  • Provide dispatch back‑up when necessary for the other offices when needed.
MINIMUM REQUIREMENTS TO APPLY
  • High School Diploma is required, bachelor’s degree preferred
  • One year of recent and relevant dispatching experience required, HVAC/Mechanical dispatching experience highly preferred
  • Recent and relevant service customer experience
  • Experience working in a fast‑paced and demanding environment
  • Experience working under pressure, with multiple deadlines and within an ever‑changing high‑paced team environment
  • Attention to detail and strong organizational skills
  • Proficient with Microsoft Office Suite – Excel, Word, Outlook and past CRM exposure

The pay range is $55,700 - $63,000 plus bonus based on relevant experience
