Job Summary
The Receptionist is the first point of contact for our guests that visit our office and serves as support across multiple departments for data processing. Duties include coordinating front‑desk activities, such as distributing correspondence and redirecting phone calls, along with offering administrative support across the organization, and welcoming all guests and people who visit the business.
DescriptionProcess subcontractor above‑labor invoices;
Stage and deliver material lines in RFMS after pick ticket dispatch;
Pull and distribute RFMS reports to support the operational team with schedule adherence and job readiness;
Contact homeowners to coordinate warranty inspections with the internal field management team;
Call subcontractors to confirm pre‑scheduled jobs one day prior to the scheduled start date;
Support the production coordination team with minor system management, data maintenance, and administrative updates;
Assist with clerical duties such as photocopying, faxing, and filing;
Use Excel to track quantities of transactions processed through the system;
Answer and address incoming phone calls in a timely and polite manner;
Forward calls to the appropriate person and take accurate, complete messages;
Check and distribute faxes;
Greet and direct all guests;
Collect and sort incoming packages and mail;
Place monthly office supply orders and coordinate inventory;
Update calendars and schedule meetings;
Maintain cleanliness and organization of the showroom, breakroom, and showroom restrooms;
Ensure reception desk coverage during absences;
Represent the organization in an ethical and professional manner at all times.

Requirements- HS Diploma or equivalent
- Basic math, reading and writing
- Time management
- Relationship building & maintenance with both internal and external customers
- Strong organizational skills
- Maintain a neat and well‑groomed appearance

- Customer service attitude
- Microsoft Office Suite – emphasis on Excel and Word
- Ability to sit at computer monitor for long periods throughout the day.
- Must possess the ability to stand for long periods of time; reach with hands and arms; move among and between offices; handle mail and documents; sit, stoop, kneel and crouch; lift and move up to 10 pounds; see well enough to discern differences in quality of documents and files.
