The Executive Assistant/Project Coordinator is an integral member of the team, encompassing several key responsibilities:
(1)
Drive the efficiency of our recruiting process and demonstrate our responsiveness (key to our brand!), by playing an important interface and coordination role with our clients and candidates during a job search process;
(2)
Improve the efficiency and effectiveness of our candidate and client management processes (for example, ensuring all relevant information is accurately captured in our systems and files in a timely manner); and
(3)
Proactively provide support to firm leaders and their teams in pursuing short- and long-term opportunities to bring in more business to grow the company.
- Coordinate recruiting processes across multiple searches concurrently: schedule candidate interviews, book travel and manage candidate expense reports and background checks, ensure resumes are in the hands of clients for interviews.
- Ensure we have real-time, accurate data on candidates in our systems at all times
- Collaborate with recruiting teams to prepare candidate pipeline reports, job postings, Linked In posts, and resume and job description formatting
- Stay on top of leaders' communications as requested to ensure timely responses are made or scheduled (email, Linked In inbox, etc.)
- Research target company prospects for leaders to pursue to capture searches in the near term and in the future
- Support the preparation for business development meetings with prospects
- Proactively research trends and interesting insights relevant to our Practice areas and collaborate with the team to translate these into marketing materials, Linked In posts, etc.
- Identify networking opportunities for leaders and support them in registering, preparing for, and following up on events (for example industry conferences, speaking engagements)
- Keep a keen eye on executives in our network so that we make sure to stay in contact in a timely and consistent way
- Persistent and hyper vigilant about ensuring the details are taken care of
- Proactive, with a strong self starter motivation and energy - manage your managers
- 5+ years of office experience in an administrative/support role in a dynamic work environment, juggling priorities
- Proficient with Microsoft Outlook, Word, PowerPoint, and Excel
- Experience with database management (Customer Relationship Management and Applicant Tracking Systems, and Linked In fluency are a plus)
- Strong communication, planning, and organizational skills
