The Role
The Property Administrator will establish and maintain effective support services for the property management functions, primarily the administration of the Agreement of Lease. The role will also create and manage all contracts, take responsibility for data integrity (building and tenant data), collect clients rental to ensure healthy cashflow, and maintain long-term tenant and property manager relationships.
What you will bringInherent requirements for the position (non-negotiable)
- Minimum Grade 12 with Accountancy as subject
- At least 2 years of experience in a similar role within a commercial property management environment
- Familiarity with relevant legal and regulatory requirements, including FICA and POPIA and other applicable data protection laws
- Understanding of financial principles related to commission calculations, turnover reports, and invoice processing
- Skilled in preparing and reviewing lease agreements, cession documents, and commission claims, and producing accurate reports
Additional demonstrable requirements:
- Proficient typing abilities for efficient document handling
- Advanced skills in MS Office and property contract systems (e.g., SAP or MDA)
- Effective verbal and written communication
- Strong organizational and administrative capabilities
- Clearing credits and payments on a daily basis after confirmation from the tenant
- Credit balances: investigate, correct or refund deposits and interest after costs are recovered
- Investigate and collect amounts >120 days and manage related communications
- Monthly cash flow reporting with tenant-specific comments and follow-up dates
- Internal and external audit investigations and feedback; quarterly and annual book year-end reporting
- Telephonic collections, follow-up, and detailed case comments; issue statements and manage bank allocations
- Prepare final demand letters and recommend summons when appropriate; update data and maintain data integrity
- Follow up of overdue payments and disputes after reviewing the original lease agreement and account
- Lease administration tasks for new deals: contract creation, broker coordination, commission calculations, lease packs; manage cession and cancellation agreements
- Lease renewals: credit vetting, KYC risk ratings, deposits, and FICA documentation
- Tenant administration: update tenant data, load turnover figures, handle queries, and prepare lease-related documents and reports
- Data integrity: ensure completeness and accuracy of lease documentation; maintain tracking and manage vacating procedures
- Tenant and public liaison: coordinate with meter reading, validate broker invoices, respond to audit queries, manage bank guarantees
- Internal liaison: communicate with staff on tenant issues, support space management and municipal bill processing
