Overview
Purpose
The overall purpose of this position is to complete office and administration role the company and it’s group.
- Ensure that all administration completed within the stipulated time frames and according to the stipulated requirements
- Ensure client contract obligations are met
- Create a bids register
- Capture bids on the bid register
- Arrange for payment of bid/tender documentation
- Arrange for attendance at tender briefing sessions
- Qualification of sales opportunities with core bid teams
- Day to day bookkeeping – quote generation, invoice generation and follow up on payments
- Manage bids through the bids process- from qualifications through to win/loss review, ensure bids are complaint, responsive and complete
- Reviews complex, high-level multi-BU, or strategic requests for proposals
- Develops proposals plans, outlines and schedules
- Runs qualification and kick-off meetings
- Ensure that all bids completed within the stipulated time frames
- Maintained contact with sales and operations to ensure all operations to ensure all opportunities are communicated and maintained
- Ensure Client contract obligations are met
- Updating of bid reports on daily basis of Ops Manager
- Maintain necessary filling system on weekly basis
- Regular updating of the bid register
- Handover of awarded tenders/contract Ensure that all Tenders completed within the stipulated time frames and according to the stipulated requirements.
- Ensure Client contract obligations are met
- Maintain contract with sales and operations to ensure all opportunities are communicated and maintained
- Be available for customer visits as and when required
- Liaise with specific departments to manage prequalification questionnaire and required documentation of Clients on behalf of management
- Compilations and consolidation of tenders and accurate compilation and consolidation of costing of tenders
- Compilation and consolidation of quotes for branches
- Updating of tender reports monthly for the department manager
- Maintain necessary filling system monthly
- Handover of awarded tenders/contracts
- National Diploma or equivalent qualification
- Sound administrative ability and knowledge of MS Office suite is non negotiable
- Sound knowledge and relevant experience of government tender/bid administration
- 3-5 years tender experience
- Attention to detail and accuracy essential
- Ability to plan meet deadlines under pressure
- Must be honest and reliable
- Must have good verbal language abilities
- Must be assertive
- Must be self-motivated
- Willing to work overtime
- Willing to travel
