A half-day Office Administrator is needed to provide professional administrative and office management support across two dynamic organisations in the South African beverage industry. This role ensures smooth daily operations and efficient coordination of executive and team activities. The position offers a four-day work week, with working hours from 08:30 to 13:00, Monday to Thursday, and Fridays off.
These organisations include a non-profit and an industry body representing alcohol producers and value chains, both committed to advancing responsible drinking practices and contributing positively to society.
Responsibilities- Serve as the primary point of contact for office management duties across both organisations
- Coordinate office activities and operations to ensure efficiency and compliance with company policies
- Manage agendas, travel arrangements, appointments, and other administrative tasks for the executive team and broader staff as required
- Handle phone calls, emails, letters, packages, and other correspondence
- Oversee office administrative budgets, ensuring accurate and timely reporting, including processing travel, expense claims, and office bills
- Maintain and update records and databases for personnel, financials, and other organisational data
- Track office supply levels and place orders as needed
- Maintain office condition and arrange necessary repairs
- Provide general support to visitors and assist in onboarding new hires
- Address employee queries regarding office management issues (stationery, hardware, travel arrangements)
- Liaise with facility management vendors, including cleaning, catering, and security services
- Plan and coordinate in-house activities, such as parties, celebrations, and conferences
- Support colleagues and assist with ad-hoc tasks as required
- Proven experience as an office administrator, office assistant, or relevant role
- Degree/Diploma in Office Administration or relevant field preferred (qualifications in secretarial studies will be an advantage)
- Outstanding communication and interpersonal abilities
- Excellent organisational, planning, and leadership skills
- Familiarity with office management procedures and basic accounting principles
- Proficiency in MS Office, particularly Excel and Outlook
- Familiarity with online scheduling tools, such as Teams and Zoom
- Hands-on experience with office machines (printers, scanners, etc.)
- Excellent time management, multitasking, and prioritisation skills
- Strong attention to detail and problem-solving abilities
- Creative mindset with ability to suggest improvements
- Self-motivated with a positive and professional approach
- Adaptable with a "can-do" attitude
