Introduction
Our client, a leading professional organisation based in Sandton, is seeking a detail-oriented and highly organised Member Services & Experience Coordinator to join their dynamic team.
Purpose of the Role
The Member Services & Experience Coordinator (Client Services / Membership Operations Coordinator) (Membership Operations & Stakeholder Services Coordinator) is responsible for delivering accurate, efficient membership administration and frontline support to individual and corporate members. Acting as the first point of contact for all member-related queries, this role ensures consistent application of standard operating procedures (SOPs) while delivering a high-quality, professional member experience.
This role is critical to member satisfaction, retention and service excellence and requires a highly organised individual with strong communication skills, attention to detail and the ability to apply sound judgement in complex scenarios. A high level of confidentiality, professionalism and service orientation is essential.
Key Responsibilities
Membership Administration & Database Management
- Process membership applications, renewals, resignations and reinstatements in line with SOPs and agreed criteria
- Assess applications, ensure completeness of documentation and prepare approval lists
- Maintain accurate and up-to-date membership records on the CRM system, ensuring data integrity
- Act as the primary liaison for allocated Corporate Members, managing member lists, administration and proposals
- Maintain strict confidentiality of member and organisational information
Member Experience, Services & Benefits
- Serve as the primary liaison for all membership-related queries and requests
- Administer member services and benefits, liaising with external service providers where required
- Process Non-Executive Director vacancy applications and prepare initial vacancy advertisements
- Ensure clear, professional and effective communication with members and stakeholders
- Support member communications, campaigns and engagement initiatives
- Escalate complaints, bottlenecks or service-related issues timeously
- Assist with events administration and member engagement activities as required
Reporting & Invoice Management
- Raise and manage invoices for individual and corporate members
- Process proof of payments and liaise with Finance for allocation
- Monitor outstanding invoices and follow up on debtors
- Maintain accurate membership pipeline reporting, reconciliations and KPI tracking
General & Team Support
- Identify opportunities to improve member-related processes and operational efficiency
- Ensure effective knowledge sharing and handovers within the team
- Provide operational support to the Team Lead and Manager as required
- Contribute positively to a collaborative and professional team culture
Qualifications & Experience
- Minimum Matric (tertiary qualification at NQF Level 6 or higher preferred)
- Experience in membership administration, professional bodies or stakeholder-facing environments
- Strong customer service and stakeholder engagement experience
- Invoice, debtor and data management experience
- Proficiency in Microsoft Office; experience with Microsoft Dynamics 365 CRM advantageous
