Position SummaryThe Festival at Sandpoint’s (FAS) Hospitality Coordinator will report to the Programming Manager and will be responsible for overseeing the backstage experience for the Summer Series. This role begins part-time in the planning phase and transitions into a full-time, high-intensity on-site leadership position during the series. On-site accommodations and meals will be provided on show days during the Summer Series.
Seasonal Structure- Pre-Production:
June 15/July 1 - Summer Series Opening Day- Coordinate with Programming Manager to advance day-of-show requirements/schedules with touring parties
- Coordinate with backstage vendors to ensure seamless service during the series
- Summer Series:
July 30 - August 9- Full-time, on-site presence required
- Operational days can range from 12-15 hours
- Evenings and weekends required
- Post-Production:
August 10 - 13 (end date dependent on job completion)- Part or Full-time, on-site presence required
- Coordinate with Programming & Production Manager to tear down backstage areas/assist with load-out duties
- Plan and oversee backstage green room and lounge areas
- Oversee hospitality green room inventory and restocking
- Ensure backstage spaces are clean, organized, and secure
- Supervise hospitality intern and volunteers
- Address artist and touring crew needs promptly
- Serve as primary contact for touring party needs
- Advance hospitality details with touring parties
- Collect and manage touring logistics: arrival & departure times, riders, dietary needs, accessibility requirements, etc.
- Distribute day of show schedules, credentials, and site information
- Oversee touring party check-in and backstage flow
- Oversee and coordinate touring party special requests
Required Qualifications
- Experience in live events, touring, hospitality, or guest services
- Strong organization, time management, and multitasking skills
- Excellent verbal and written communication
- Ability to remain composed in high-pressure environments
- Ability to remain professional with high-profile guests
- Willingness to work extended hours during festival dates
- Experience managing small teams and/or volunteers
- Previous artist liaison or backstage coordination experience
- Ability to stand and walk for extended periods of time
- Ability to lift and move hospitality equipment and supplies (up to 50lbs)
- Available evenings and weekends during the Summer Series
- Able and willing to work long operational days (12-15hr days on show days)
- This is a seasonal, term-based position: $25/hr, overtime rates apply
- On-site accommodations provided during festival dates
- Lunch & Dinner provided on show days, with Breakfast stipend
