The Clinic Lead provides elevated administrative support and leadership within our client-facing skincare clinic, acting as a bridge between the front desk team and clinic management. This role ensures smooth day-to-day operations while taking on added responsibilities such as reporting, light project coordination, social media support under guidance alongside the Clinic Coordinator. The Clinic Lead also serves as a resource for escalated client issues and will be acting Manager on Duty when the Clinic Manager is unavailable, maintaining a professional and welcoming environment throughout.
This position will work onsite at our San Ramon clinic. (Must be available to work evenings and weekends). Our Clinic is open Tuesday – Sunday (Tuesdays – 10am-6pm, Wednesdays & Thursdays 9:30am-8pm, Fridays & Saturdays- 9:30am-6pm) This position is not eligible for Visa sponsorship.
- Perform all Clinic Coordinator duties, including front desk management, appointment scheduling, and client service
- Assist with administrative tasks such as reporting, documentation, and light project management
- Take accurate meeting notes and distribute summaries to relevant stakeholders
- Support event preparation, promotional activities, and special projects
- Collaborate on social media initiatives: create content, schedule posts, and engage with followers under guidance
- Assist with marketing campaigns and promotional efforts to enhance clinic visibility
- Provide mentorship and coverage for Clinic Coordinator during overlapping shifts
- Serve as the point of contact for escalated client concerns when the Clinic Manager is unavailable
- Maintain a positive, professional environment for clients and staff
- Oversee inventory processes, including product counts, restocking, and lot code tracking
- Coordinate with Clinic Manager and Operations Team on ordering timelines and audits
- Ensure treatment rooms remain stocked with clean linens and towels
- Maintain compliance with sanitation protocols and laundry organization
- Assist with creating and updating clinic SOPs
- Support operational improvements and cross-functional projects
- High school diploma or GED required, associate degree preferred
- 3 plus years of related experience in front desk or administrative roles, preferably in a clinic or spa environment
- Proficiency in Microsoft Office (especially Excel); familiarity with Vagaro, Shopify, and Ring Central preferred
- Must uphold confidentiality and comply with privacy regulations regarding client and financial data
- Expected to follow clinic protocols in accordance with the Notice of Privacy Practices
- Responsible for escalating any privacy or security concerns to the Clinic Manager and/or Finance Team
