Office Assistant II, Bilingual (Temporary) Department of Health & Human Services

This recruitment establishes an eligible list to fill future vacancies. The list remains active for open, fixed‑term, full‑time or part‑time positions that may arise. Though currently there is a 6‑month vacancy in the Behavioral Health and Recovery Services division for a temporary Office Assistant II, Bilingual, you are encouraged to apply even if a specific vacancy does not yet exist.

Responsibilities
  • Support front‑desk and medical records operations at clinics in San Rafael, Novato and Greenbrae.
  • Provide phone and in‑person customer service support to clients and clinic programs.
  • Greet and check in clients for appointments, re‑schedule and handle appointment changes.
  • Answer basic questions about HHS/BHRS services and support.
  • Order office supplies and contact maintenance staff and vendors as needed.
  • Assist the medical records team and schedule conference rooms.
  • Provide backup to Office Assistant III staff when required.
  • Use MS Office Suite; reserve conference and meeting rooms.
  • Check information portals to confirm client Medi‑Cal eligibility.
  • Communicate via email or phone to remind clients of appointments.
  • Enter and update data in spreadsheets or electronic health records.
Bilingual Proficiency

The successful candidate must possess proficiency in both Spanish and English. A bilingual proficiency exam will be administered to ensure the appropriate skill level before appointment.

Qualifications – Knowledge
  • Standard office practices and procedures (filing, correspondence, office equipment).
  • Standard office applications (word processing, spreadsheets, database systems).
  • Correct English usage – grammar, spelling, punctuation.
  • Business arithmetic.
Qualifications – Ability To
  • Perform clerical and technical work quickly and accurately.
  • Use database, spreadsheet, word processing, publishing and internet applications.
  • Read, interpret and apply rules, policies and procedures.
  • Prepare and maintain accurate records and reports.
  • Read and comprehend manuals, policies, and procedural documents.
  • Perform basic mathematical calculations.
Minimum Qualifications

One year of experience performing clerical/office support duties that demonstrate knowledge of standard office applications and practices. Completion of a clerical training program or office administration coursework may substitute up to six months of required experience.

Clerical/office support experience must include preparing, interpreting, and maintaining a variety of records/documents; using standard office applications and equipment; and greeting and assisting members of the public.
