Job Description

We are seeking a highly organized and proactive Associate Program Manager to support the Demand Generation organization s role combines program and project management responsibilities with operational support to ensure the Demand Generation function runs smoothly. The ideal candidate thrives in a fast-paced environment, excels at managing multiple priorities and is motivated by enabling a high-impact marketing team to achieve its goals.

You will be a trusted partner to the VP and leadership team—coordinating projects, tracking deliverables and ensuring effective communication and alignment across stakeholders.

Please note:
This is a hybrid role that will be based in San Mateo, CA and requires an in-office presence three days per week (Tuesday - Thursday).

Responsibilities
  • Program & Project Coordination:
    Manage timelines, deliverables, and work streams for key Demand Generation initiatives.
  • Cross-functional collaboration:

    Partner with teams to coordinate inputs for campaigns, events, and operational projects.
  • Visibility and tracking:
    Create and maintain project trackers, dashboards, and status reports to provide visibility on progress, risks, and dependencies.
  • Action item follow-through:
    Track and drive follow-through on action items from leadership meetings.
  • Process improvement:
    Identify process gaps and recommend ways to improve efficiency and coordination.
  • Leadership & Operational Support:
    Optimize scheduling and time allocation for the VP of Demand Generation to balance strategic priorities.
  • Preparation:
    Prepare agendas, briefing materials, and presentations for leadership and cross-functional meetings.
  • Stakeholder liaison:
    Serve as a liaison with internal and external stakeholders, ensuring timely information flow.
  • Travel, Events & Logistics:
    Coordinate domestic and international travel arrangements.
  • Meeting and event support:
    Support planning and execution of team meetings, workshops, and offsites.
  • Finance and documentation:
    Manage expense reports, budget tracking, and operational documentation.
Qualifications
  • 3-5+ years of experience as a Program Coordinator, Project Manager, or in a similar operational support role.
  • Strong organizational and time-management skills with the ability to manage multiple projects simultaneously.
  • Proficiency with Google Workspace (Gmail, Docs, Sheets, Slides, Calendar) and project management tools (Asana, Trello, Smartsheet, or equivalent).
  • Excellent written and verbal communication skills.
  • Experience in marketing, sales, or technology industry is a plus.
