About the Role
We’re looking for a dependable, detail-oriented Office & Operations Administrator to be the backbone of our day-to-day operations. This role is critical to keeping the office running smoothly, ensuring financial processes stay organized, and supporting leadership with accurate information and reliable execution.
This is not an executive assistant role and not a full accounting position. It’s an operational role designed for someone who enjoys structure, takes pride in keeping things running well, and thrives in an in-office environment.
You’ll work closely with leadership and our fractional CFO to support accounting processes, office management, scheduling, and logistics. If you’re someone who likes bringing order to complexity and following things through to completion, this role will feel like home.
Core Responsibilities Office & Operations- Manage daily office operations including mail, supplies, cleanliness, vendors, and general upkeep
- Coordinate internal logistics, schedules, and in-person meetings
- Support planning and execution of company events and internal gatherings
- Maintain organized digital and physical filing systems
- Manage Accounts Receivable and Accounts Payable processes
- Ensure invoices are sent, tracked, and followed up on appropriately
- Process vendor payments and maintain accurate financial records
- Support month-end close in partnership with the fractional CFO
- Assist with budget tracking and expense oversight
- Handle data entry and reconciliation support as needed
- Prepare and submit sales tax payments accurately and on time
- Serve as a point of coordination between leadership, vendors, and finance partners
- Keep timelines, documentation, and follow-ups organized and visible
- Flag issues early and ensure nothing falls through the cracks
- Highly organized with strong attention to detail
- Comfortable managing multiple responsibilities without losing accuracy
- Consistent follow-through and ownership mindset
- Prior experience with AR/AP and basic accounting processes
- Comfortable working with numbers, invoices, and financial documentation
- Ability to follow established financial processes with precision
- Strong written and verbal communication
- Proficient with spreadsheets, email, calendars, and office software
- Comfortable learning new systems and tools
- Reliable, steady, and trustworthy
- Takes pride in doing things the right way
- Calm under pressure and proactive when issues arise
- Enjoys being a behind-the-scenes force that helps the team succeed
- 2–3 years of experience in an office administration, operations, or similar role
- Prior experience supporting accounting or finance functions preferred
- Ability to work full-time, in-office (40 hours per week)
- High school diploma required; additional education or certifications a plus
- $18–$22 per hour, based on experience
