This is a full-time, exempt level position located in San Jose, California. Destination:
Home operates in a hybrid office/remote environment; employees are required to be in the office three days per week (Tuesdays, Wednesdays, Thursdays).
Reporting to the Director of Administration and Development, this position manages all gift administration, grants, and contract processes while supporting fundraising operations and cross-departmental coordination. The role partners closely with Leadership, Initiatives, Communications, and Administration to ensure strong donor stewardship, accurate reporting, timely grant submissions, and effective use of data and systems.
Duties and ResponsibilitiesDevelopment
- Donor/Funder Prospecting and Stewardship
- Conduct research, qualify and prioritize donor/funder prospects.
- Create comprehensive profiles for prospects, including capacity, giving history, and key relationships.
- Develop stewardship and cultivation concepts, ensuring implementation and logistics of donor development events.
- Lead development of all proposals, reports, and updates.
- Track and report prospect and stewardship activity.
- Partner with Communications to create donor/funder newsletter profiles to increase partnership visibility.
- Gifts Administration
- Manage administration of all incoming gifts (checks, reconciliations, communications with SVCF, thank-you letters, and electronic filings).
- Data Management and Analysis
- Oversee the CRM system, coordinating with Communications and Initiatives teams on data requests.
- Manage the annual Development Plan, tracking status, monthly reporting, and quarterly progress analysis.
- Lead the bi-annual Data and Assets update process for the Development Team.
Grant and Contract Administration
- Grant Applications
- Lead coordination of all public and private grant application submissions.
- Manage application calendar and deadlines.
- Work with Initiatives Team to secure project information for proposals and applications.
- Grant Contract Management
- Manage administration of both government and private grants, reporting calendars, and electronic filings.
- Obtain project information and submit timely reports and updates.
- Support accurate billing of cost reimbursement contracts and coordinate with Initiatives Team.
Administration
- Assist with reports, documentation, and presentations for internal and external meetings.
- Assist with event planning and meeting coordination, including ordering food and supplies.
- Support other agency staff as required.
- Support calendaring, scheduling, travel, and meeting preparation for executive staff.
Other related duties as assigned.
Qualifications and Required Skills
- Bachelor's degree in a related field (e.g., business administration, nonprofit management) or equivalent experience.
- At least three years of experience in administration, grantmaking, or development roles.

- Strong administrative management skills, including budgeting, reporting, and compliance tracking.
- Familiarity with funding solicitations, award review processes, grant contracting, and grantee relations.
