Overview
Litigation Secretary — San Jose, CA. Hybrid (2 days onsite/week after 90 days). Top Am Law Firm. This position supports a prestigious legal team handling complex and high-stakes litigation matters. After a 90-day onboarding period, the schedule includes a hybrid work model with 2 days onsite and 3 days remote each week.

- Provide high-level administrative and litigation support to attorneys and paralegals in the Litigation practice group
- Prepare, format, and revise legal documents including pleadings, discovery, motions, subpoenas, and correspondence
- File legal documents with federal and state courts, including e-filing using court-specific platforms
- Manage attorney calendars, schedule meetings, coordinate travel, and maintain docket reminders
- Open new matters, manage files, and maintain document management systems in accordance with firm protocols
- Process expense reports, time entry, and billing tasks in a timely and accurate manner
- Communicate with clients, court personnel, and opposing counsel professionally and confidentially
- Maintain a high level of discretion and professionalism at all times
- Minimum 5 years of litigation secretary experience in a large or mid-size law firm environment
- Strong knowledge of federal and California state court rules and procedures
- Proficiency with MS Office Suite (Word, Outlook, Excel, PowerPoint) and legal document management systems
- Experience with court e-filing platforms (e.g., CM/ECF, California courts)
- Excellent written and verbal communication skills
- Ability to prioritize multiple tasks with accuracy and attention to detail
- Strong organizational and time management skills
- Professional demeanor and ability to work both independently and collaboratively
