Base pay range$68,000.00/yr - $84,000.00/yr
OverviewWe are seeking a Human Resources Specialist to join our school administrative team in San Jose. This role supports the daily operations of Human Resources, including onboarding, benefits administration, and compliance, while helping refine HR systems to meet the evolving needs of a growing academic community. This position plays a key role in ensuring faculty and staff employees receive excellent HR support in a professional, service-oriented environment.
Responsibilities- Manage employee lifecycle activities for faculty and staff, including onboarding, offboarding, and employment changes.
- Administer benefits programs (health, dental, vision, retirement), coordinating with third-party vendors and assisting employees with questions.
- Maintain HRIS accuracy and HR documentation, ensuring compliance with federal and California labor laws as well as institutional policies.
- Support recruitment processes: post job descriptions, coordinate interviews, manage candidate communications, and prepare offer letters.
- Collaborate with Payroll and Finance teams to ensure smooth transitions for new hires, role changes, and separations.
- Assist in policy development, audits, and accreditation-related compliance activities.
- Contribute to building a welcoming, inclusive workplace culture in line with institutional values.
- Strong written and verbal communication skills, with the ability to build positive relationships across faculty, staff, and students.
- Excellent organizational skills, with attention to detail and the ability to manage multiple priorities in a dynamic academic setting.
- Familiarity with HRIS tools.
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 5+ years of HR experience, including at least 1-3 years in a specialist role.
- Demonstrated experience supporting both full-time employees and temporary staff.
- HR certification (SHRM-CP, CHRP or PHR) is highly desirable.
- Prior experience in higher education or nonprofit administration.
- Knowledge of accreditation requirements or labor compliance specific to academic institutions.
- Working knowledge of California employment law and compliance best practices.

Salary: $68,000 to $84,000 base salary plus benefits.
