Job Summary
Working under general direction from the Sr. Associate Vice President for Enrollment Management, the Director of New Student and Family Programs is charged with the planning, implementation, leadership and oversight of the mandatory SJSU new student orientation program for approximately 9,000 incoming first‑time, first‑year and transfer students and the SJSU Parent & Family Orientation, which introduces incoming students and their parent(s) and family members to the university community and its resources, policies, and procedures during multiple orientation sessions held during the summer and in December.
Key Responsibilities- Develop a campus‑wide orientation program for 9,000 new undergraduate students and parents/families that directly contributes to a successful transition and high first‑year retention.
- Lead and manage the daily operations of New Student and Family Programs.
- Create programming in collaboration with Partner Units to manage a purposeful transition for all first‑time, transfer students, and their parent(s) and family members.
- Lead parent/family programs and initiatives, including coordination of Parent and Family Weekend and development of the Family Advisory Board.
- Make programming decisions on short notice to respond to unanticipated circumstances.
- Create publications regarding orientation, including brochures, confirmation letters, programs, handbooks, and other communication intended for new students and families.
- Oversee first‑time, first‑year and transfer orientation budgets and the NSFP budget totaling $2 million from multiple funding sources and ensure compliance with the Campus Fee Advisory Committee and CSU/SJSU standards.
- Determine budget allocations and priorities based on enrollment forecasting and submit an annual business plan to the SAVP of Enrollment Management and University Budget Office.
- Provide mid‑year analysis of expenditures to date and forecast expenditures for the remaining fiscal year.
- Develop, execute, evaluate and assess orientation programming effectiveness for both student learning outcomes and general student and parent/family member satisfaction.
- Implement and manage the online assessment survey for Orientation programs and compile and report findings.
- Recruit, onboard and train the Family Advisory Board (FAB) members.
- Supervise, hire, train and evaluate the NSFP Coordinator, Parent and Family Coordinator and Assistant Director of NSFP to ensure planning, setup and execution of orientation sessions, communication and participation in other transition activities.
- Supervise, hire, train and evaluate the Administrative Support Coordinator to coordinate Next Steps enrollment/orientation registration, create materials, respond to student and parent inquiries and assist academic colleges with advising and registration plans.
- Recruit and evaluate Core Staff members (around 10) and Orientation Leaders (around 30) through coordination of interview sessions.
- Supervise the work performance of undergraduate student staff (60+) and conduct regular performance reviews to provide feedback for enhanced performance.
- Demonstrated ability to successfully plan and implement large‑scale events.
- Knowledge of orientation planning processes and student transition and matriculation processes.
- Expertise in orientation, transition, equity gap elimination and retention.
- Ability to lead and facilitate training and development for undergraduate and graduate student leaders.
- Strong communication and partnership skills with campus partners.
- High‑quality customer service in a high‑demand environment.
- Knowledge of campus resources and Student Success Programs at SJSU.
- Collaborative work with students, staff, faculty and administrators.
- Understanding of student success strategies for first‑time freshmen and families.
- Excellent verbal and written communication skills and strong business correspondence skills.
- Proficient in Word, Excel, Google Workspace, Outlook and Internet Explorer.
- Ability to analyze complex data and propose solutions and work within strict fiscal parameters while delivering a quality transition program.
