Workplace Experience Coordinator - San Jose, CA

Full‑time position in the GWS Segment, located in San Jose, CA.

About the Role

As a CBRE Workplace Experience Coordinator, you’ll be responsible for delivering a world‑class customer service experience to employees and guests of a designated building. The role is part of the Workplace Experience function, which provides world‑class customer service to clients and visitors.

What You’ll Do
  • First point of contact for all those entering the facility; greet them with a friendly and welcoming demeanor, issue visitor and parking passes, and follow security>

    Make a memorable first impression by answering the telephone in a professional manner and by creating presentations and speaking to various‑sized groups.
  • Arrange and confirm recreational, dining, and business activities on behalf of the requestor.
  • Manage janitorial or maintenance work orders as needed; coordinate and execute workplace services including mail, office supply services, and onboarding.
  • Acknowledge inquiries or complaints from employees, guests, and co‑workers; provide solutions in a professional customer‑service driven manner.
  • Organize and manage on‑site events, including securing event space, set up and tear down of the room, and delivery of supplies.
  • Follow property‑specific security and emergency procedures; notify appropriate parties to ensure the safety of all individuals in the building.
  • Coordinate with vendors who supply services or goods to the workplace.
  • Explain detailed and/or complicated information within the team and follow specific directions as given by the manager.
  • Impact through clearly defined duties; use existing procedures to solve straightforward problems while having limited opportunity to exercise discretion.
What You’ll Need
  • Eligibility: Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future.
  • Education: High School Diploma or GED required; a bachelor’s degree in hospitality, Event Management, or a related field is a plus.
  • Experience: A minimum of 2 years of meeting and event planning, front desk, concierge services, customer service, or a related hospitality role.
  • Communication and Interpersonal

    Skills:

    Exceptional verbal and written communication skills, the ability to confidently interact with diverse individuals, and a warm and welcoming demeanor and genuine desire to assist others with strong active listening and empathy.
  • Organizational and Execution

    Skills:

    Strong organizational skills, keen eye for detail, ability to prioritize tasks, manage time effectively, meet deadlines, and follow instructions accurately.
  • Technical

    Skills:

    Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, etc.); a plus if proficient in other platforms such as Webex, Slack, and Canva.
  • Collaboration and Adaptability: A collaborative team player who is comfortable working with internal teams and can adapt to changing priorities while handling multiple tasks simultaneously.

CBRE carefully considers multiple factors to determine compensation, including a candidate’s education, training, and experience. The minimum salary for the Workplace Experience Coordinator position is $58,000 annually and the maximum salary is $61,200 annually.
