Senior Administrative Assistant

Responsibilities

Max Linear is seeking a service focused, motivated and friendly Senior Administrative Assistant for our San Jose office. In this “go-to person” role, you will be the first line of communication for visitors to our office. The ideal candidate will thrive in a multi-cultural, professional, but business casual environment where responsiveness, strong follow-through, and dedication are the expectation. In this on-site role, you will be responsible to:

• Greet guests, vendors, and candidates and escort to conference rooms
• Set up conference rooms for meetings and candidate interviews
• Responsible for domestic and international shipping and tracking of all purchases and expenses
• Manage external mailings and sort and deliver incoming mail
• Sign for and distribute deliveries
• Prep packages for deliveries
• Manage NDA (non-disclosures) including printing, having signed, scanning, and uploading to database
• Distribute, collect, and maintain temporary badges and log for employees
• Monitor and maintain office food and coffee supplies
• Maintain cleanliness in breakrooms
• Maintain filtered water machines and call for service
• Place orders for kitchen and office supplies
• Order, set up, and clean lunch events
• Assist with coordination of Levi’s Stadium tickets and food ordering for suite
• Assist with coordination and booking of domestic travel (airfare, hotel, rental cars), ensuring itineraries are well-organized, communicated, adequately detailed (maps, phone numbers, confirmation codes), and well-documented
• Support expense reimbursement process for site senior leadership
• Assist with ancillary HR duties to ensure high quality employee events and activities

• Strong customer focus with the ability to appropriately manage expectations
• Ability to respond to urgent requests, be flexible, and meet deadlines
• Solid MS Office skills including Outlook, Excel, and Word
• High School Diploma + 6 years of experience, or Bachelor’s Degree + 3 years of experience

Max Linear has a Total Compensation philosophy which includes base salary and annual discretionary bonus eligibility and many positions also include stock-based compensation.

Max Linear expects to offer a starting base salary within the range of: $33.65 to $40.87 Hourly

The actual starting base salary will be determined by the match to certain role-related criteria such as educational degree(s) or equivalent, relevant work experience, skillset needed for the role, and geographic location; this is not an all-inclusive list as some roles may require unique skills or experience.
