Department Support Coordinator
Position within The California State University, College of Humanities and Arts. Reports to the Director of Resources and Operations. Provides administrative support to the College's departments.
Key Responsibilities- Act as front‑line receptionist, answering phones, responding to inquiries, running errands, distributing mail, and making photocopies.
- Assist with department events and meetings (graduation, orientations, retirements, speaker series), including reserving facilities, creating flyers, coordinating catering, managing RSVPs, and preparing for set‑up, maintenance, and cleanup.
- Maintain office equipment (copier, paper cutter, shred bin, laminator, etc.) by filling supplies, calling for service, and setting copier codes.
- Assist with training student assistants and tracking hours worked.
- Create eFaculty cases, verify completion, and move cases.
- Update social media (website, Instagram, Twitter, Facebook).
- Process student forms.
- Create faculty notifications of schedules.
- Attend room swap meetings.
- Professional communication with constituents.
- Accuracy amid frequent interruptions.
- Knowledge of general business office procedures and equipment.
- Business acumen, troubleshooting, and problem solving.
- Diplomatic communication with public, faculty, staff, students.
- English grammar, spelling, and punctuation.
- Ability to learn and apply policies and procedures.
- Excellent verbal and written communication; customer service skills.
- Technical proficiency relevant to work assignments.
- Knowledge of campus infrastructure, policies, and procedures.
- Handling a broad range of interpersonal contacts.
- Basic business math for financial data.
- Technical knowledge across office systems and technology.
- Completion of a high school program or equivalent technical/vocational education.
- Two (2) years of related office work experience or a combination of education and experience.
- Bachelor's degree or equivalent experience.
- Three (3) years clerical experience in file maintenance, answering phones, and customer service.
- Experience with Student Administration, Microsoft Office, web development/maintenance, and Google Suite.
Administrative Support Coordinator I; anticipated hiring range $4,558–$4,742 per month (Step 7–9). CSU salary range $4,047–$5,896 per month (Step 1–20).
